About the role

The Staff Assistant in the Director's Office serves as the primary office administrator to the Director (SES) and two Assistant Directors (GS-15) of the Columbia Regional Office. Key responsibilities include managing the suspense control action of all approved recurring reports, coordinating and participating in various projects, and handling incoming and outgoing communications.

Responsibilities

  • Maintain follow-ups with staff members to ensure timely completion of reports and projects.
  • Coordinate and participate in a wide range of projects within the Director's Office.
  • Receive, schedule, refer, and contact staff members, agency personnel, and external parties.
  • Establish and maintain office statistical reporting and records systems.
  • Analyze data and write reports/recommendations, including identifying significant trends or changes.
  • Compile statistical data to support background information and prepare outlines for presentations and correspondence.
  • Exercise exclusive control over calendars and keep them on track.
  • Arrange for meeting spaces, speakers, and support arrangements for conferences.
  • Handle incoming and outgoing correspondence for the Director and Assistant Directors.
  • Screens all correspondence for clarity, completeness, and correctness.

Requirements

No promotion potential. Full-time, Monday - Friday, 8:00 AM - 4:30 PM. Compressed/Flexible: Compressed schedule may be an option with approval. Telework: Situational (ad hoc) telework only. Virtual: Not applicable.

Qualifications

  • To qualify for the Staff Assistant position, applicants must meet either specialized experience or education requirements.
  • Specialized experience includes completing projects using automated data processing and information management programs and recommending changes in administrative policies/procedures.
  • Educational requirements include a master's degree or equivalent graduate degree, or LL.B or J.D., with 2 full years of progressively higher level graduate education leading to such a degree, or 1 year of specialized experience equivalent to at least the GS-07 grade level.

Additional Conditions of Employment

  • Must be a U.S. citizen.
  • May be required to serve a probationary period.
  • Must pass a background/security investigation.
  • Must complete an online onboarding process.
