About the role

The Sr. Project Coordinator is responsible for coordinating assigned projects from planning through completion while supporting the Senior Project Manager with project planning, tracking, reporting, and implementation activities. This position independently coordinates Endayaan housing projects by working collaboratively with tribal members, internal departments, contractors, builders, vendors, and other stakeholders to ensure projects are completed on time, within budget, and in accordance with organizational objectives. The Sr. Project Coordinator also assists with project documentation, invoice processing, financial tracking, and organizational reporting while helping maintain multiple projects across the organization.

Essential Functions

Endayaan Housing Project Coordination:

  • Serve as the primary project contact for tribal members participating in the Endayaan housing program, guiding them through the home selection, construction, and project completion process.
  • Coordinate the home selection, contracting, Land Use Agreement (LUA), site preparation, home delivery, installation, inspection, and project closeout activities.
  • Coordinate activities between tribal members, builders, contractors, utility providers, vendors, inspectors, Land Management, and other project stakeholders.
  • Monitor project schedules, budgets, and milestones while identifying potential issues and helping resolve project delays.
  • Maintain regular communication with tribal members and project stakeholders regarding project status, timelines, and next steps.
  • Ensure projects are completed in accordance with organizational standards, program requirements, and established timelines.

Project Administration:

  • Assist the Senior Project Manager in tracking all active organizational projects.
  • Prepare and maintain project schedules, meeting notes, status reports, and project documentation.
  • Submit project invoices and supporting documentation to Accounting for payment.
  • Coordinate project capitalization with Accounting upon project completion.
  • Track project expenditures and assist the Senior Project Manager with budget monitoring.
  • Maintain complete and accurate project files and supporting documentation.

Collaboration & Communication:

  • Build positive working relationships with tribal members, contractors, vendors, consultants, and internal departments.
  • Coordinate meetings and communicate project expectations, schedules, and updates.
  • Assist in resolving project issues by collaborating with appropriate stakeholders.
  • Support the Senior Project Manager with special projects and organizational initiatives.
  • Provide regular project updates to the Senior Project Manager, leadership, and other stakeholders as requested.

Compliance & Process Improvement:

  • Ensure assigned projects comply with organizational policies, contractual requirements, and applicable regulations.
  • Maintain accurate documentation throughout each phase of the project lifecycle.
  • Recommend improvements to project coordination processes and administrative procedures.
  • Support implementation of project management tools and best practices.

Qualifications & Abilities

  • Strong organizational, planning, and time management skills with the ability to coordinate multiple projects simultaneously.

  • Ability to build collaborative relationships with tribal members, contractors, vendors, consultants, and internal departments.
  • Demonstrate excellent customer service skills while working with tribal members, contractors, and other project stakeholders.
  • Strong problem-solving skills with the ability to work independently and exercise good judgment.
  • Ability to maintain accurate project documentation, financial records, and schedules with strong attention to detail.
  • Proficiency with Microsoft Office Suite and the ability to learn project management software.
  • Ability to maintain professionalism, integrity, and confidentiality in all aspects of the position.

Supervisory Responsibility

This position has no direct supervisory responsibilities but is responsible for coordinating the work of contractors, vendors, consultants, and project stakeholders assigned to individual projects.

Work Environment

This position operates in both professional office and field environments. Regular interaction with construction sites, tribal members, contractors, vendors, and business units is expected. This role routinely uses standard office equipment including computers, phones, printers, and project management software.

Physical Demands

The physical demands described here are representative of those that must be met by a team member to successfully perform the essential functions of this job. While performing the duties of this job, the position requires a balance of office-based administrative tasks and active field coordination.

Office Environment: This role routinely requires sitting, standing, and walking. The employee must frequently use hands and fingers to handle or feel office equipment, type on a computer, and operate phones. It requires the ability to open filing cabinets, bend, twist, and reach as necessary. The employee must occasionally lift and/or move office supplies or project files up to 20 pounds.

Field/Construction Sites: This role requires the physical ability to visit and navigate active housing development and construction sites. The employee must be able to walk, stand, and balance on uneven, unpaved, or rough terrain. The position requires the ability to occasionally climb steps, bend, stoop, kneel, or crouch during site walkthroughs and inspections.

Sensory & Mobility: Specific vision abilities required include close vision, distance vision, depth perception, and the ability to adjust focus to safely navigate construction areas. Verbal communication and sharp hearing are required to interact directly with tribal members, contractors, and vendors in both quiet office settings and noisy field environments.

Schedule

This is a full-time position. Days and hours of work are primarily Monday through Friday from 8:00 a.m. to 4:30 p.m. Occasional evening and weekend work may be required based on project schedules and organizational needs.

Travel

Local travel between project sites, tribal departments, contractors, vendors, and business units is required. Occasional out-of-area travel may be required.

Required Education & Experience

  • Associate's degree in Business Administration, Construction Management, Project Management, Operations Management, or a related field preferred. An equivalent combination of education and directly related experience may be considered.
  • Minimum three (3) years of experience coordinating projects, construction activities, housing initiatives, or operations involving multiple stakeholders.
  • Demonstrated organizational, communication, and project coordination skills, including experience maintaining project documentation, processing invoices, and supporting multiple projects simultaneously.

Preferred Education & Experience

  • Bachelor's degree in Business Administration, Construction Management, Project Management, Operations Management, or a related field.
  • Experience working with tribal governments or tribal communities.
  • Experience coordinating residential housing, manufactured housing, construction, or capital improvement projects.
  • Familiarity with project management software, budgeting, project accounting, and project capitalization processes.
