Sr. Office Specialist - Transit Commission
Description
Help support the Utah Transit Authority’s new Transit Commission from the very beginning. UTA is launching a new Transit Commission to provide strategic oversight and guide the future of public transportation across Utah. As the Senior Office Specialist, you will work alongside the Transit Commission Administrator to handle the daily operations of the Office of the Transit Commission and help establish the processes that will support this new governing body.
You will support executive leadership, Commission members, and stakeholders across the organization to coordinate meetings, prepare materials, manage administrative operations, and keep high-priority initiatives moving forward. As the Senior Office Specialist for the New Transit Commission, you will:
- Provide administrative support to the Office of the Transit Commission, including direct support to the Transit Commission Administrator and other executive leadership as assigned.
- Serve as the front office administrator for the Office of the Transit Commission and work with internal and external stakeholders to facilitate communication and coordinate requests.
- Provide administrative support, assist with the preparation and documentation for Transit Commission meetings, manage projects, initiate action items, prepare documents and presentations, and coordinate meetings and special events.
- Handle and respond to highly sensitive, urgent, and confidential information from internal and external stakeholders.
- Manage special requests and projects as assigned.
Experience/Education/Training
- Four years as an office administrator providing support to senior executives and managing a multi-faceted office operation.
- Associate’s degree in business, public administration, communications or related field; Bachelor’s preferred.
Knowledge/Skills/Abilities
- Advanced proficiency in MS Word, Excel, PowerPoint and Adobe Pro preferred.
- Communicate well and in a professional manner with external contacts and all departments within UTA.
- Adapt easily to support a variety of technology and software programs.
- Work with multiple stakeholders professionally and with a customer focus.
- Decipher and prioritize requests and forward to appropriate staff.
- Work with minimal supervision and take initiative.
- Respond to urgent requests/needs effectively.
- Handle multiple tasks/interruptions throughout day.
- Be flexible and change direction based upon urgent requests or needs.
- Decipher strategic topics and be able to communicate key points and prepare reports.
- Work with constituent groups on key issues and provide resolution through verbal & written communications.
Pay Rate
Pay Rate: $25.82 Per hour, or more, depending on experience.
