About the role
This in-office position supports the Bloomington, MN corporate headquarters by addressing employee and visitor needs, coordinating events, and providing general administrative support. You will develop strong relationships with executives, business partners, and cross-functional teams to ensure efficient communication and coordination across the organization. Candidates must possess unrestricted authorization to work in the U.S. for any employer without sponsorship now or in the future.
Responsibilities
- Reception & Front Desk
- Serve as the first point of contact for all visitors, including vendors, candidates, and clients, delivering a professional and welcoming experience.
- Manage the reception area and front desk operations, including greeting visitors, routing incoming calls, and keeping the space clean, organized, and presentable.
- Provide general administrative support for in-office events and meetings, including catering and invoice support.
- Office & Facilities Management
- Manage office supply inventory, including purchasing, tracking, and restocking.
- Ensure break rooms, supply closets, conference rooms, and common areas are clean, organized, and properly stocked.
- Coordinate with vendors to source quality, cost-effective supplies and services, and maintain office equipment to ensure proper functioning.
- Manage incoming and outgoing shipments, mailings, and material tracking for various teams.
- Business Support & Partnership
- Partner with leaders to manage priorities and updates regarding the corporate office.
- Provide support to the Human Resources team, including running ad-hoc reports, immigration processes, new hire orientation, and career fairs.
- Partner with Marketing to coordinate vendor-supplied materials.
- Develop and maintain org charts and the corporate headquarters floorplan.
Requirements
- 5+ years of office administration experience serving an office of 100+ employees, preferably a corporate headquarters.
Skills
- Strong Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint.
- Willingness to become a public notary.
- Ability to maintain sensitive and confidential information.
- Exceptional organization, communication, and problem-solving skills.
- Ability to respond to a range of requests while exercising sound judgment and discretion.
- Strong work ethic and ability to handle multiple projects and assignments.
- Demonstrated business communication skills, both verbal and written.
- Ability to work in a team environment supporting multiple staff members.

Pay
The salary range for this position is $28.84 to $36.06 per hour. Actual compensation will depend on the candidate’s skills, qualifications, and experience.
