Sr. Manager, Program Management
About the Role
The Senior Program Manager is responsible for managing the New Generation program of Newbuilds, special projects, revitalization and refurbishment of vessels or technical projects across all corporate brands. This role involves consulting with internal clients in various departments (shoreside and shipboard) to gather, analyze, and report data for recommended courses of action. The position requires proactive strategizing, managing, planning, and driving activities of new ship design, ship revitalization, or technical project processes to ensure project completion within prescribed time frames and budgets.
This role functions as an in-house process driver and coach of matrixed operating department representatives for high-priority, high-profile, and multi-departmental initiatives. It requires continuous communication and interaction in a fast-paced environment with the Newbuilding Mission Control Director, VP, and department executives. The Senior Program Manager oversees all aspects of project planning, tracking, and status reporting while maintaining relationships with key customers, primarily Directors, Vice Presidents, and Company Officers.
Responsibilities
- Lead, mentor, and provide overall direction to a small team of one to six resources, including a Program Manager, Assistant Program Manager, Program Associate, and/or Coordinator.
- Utilize project management tools and industrial engineering techniques to lead, develop, and oversee the maintenance of project scope, customer and executive expectations, and overall project focus.
- Lead, coach, and advise the project team in outlining goals, objectives, milestones, responsibilities, scope, risks, and tracking routines.
- Manage and participate in the study of operational needs and current operational performance to determine optimal working procedures and systems, identifying areas for improvement and efficiency on assigned projects.
- Act as the liaison between the Site office(s) and Miami Newbuilding office, serving as the single point of contact for collecting and sharing requested information between parties.
- Proactively interface with constituent representatives to examine project status and monitor progress; review status reports prepared by project personnel and modify schedules or plans as required.
- Organize the communication of project plan status on a regular basis to project stakeholders, global partners, and the core team, re-establishing goals and adjusting work processes based on shifting priorities and new information.
- Follow up with team members to meet project deadlines and provide input on team member activities for the schedule review process.
- Coordinate activities to ensure projects progress on schedule and budget, accurately reflecting current project status through regular updates of tasks and statuses.
- Participate in succession planning, training, evaluation, and development for project team personnel.
- Work with the Financial Department to track budget forecasts, cost controls, and reporting.
- For Newbuilds, track the progress of owner supply specification, requisition, and procurement; work with Supply Chain Management and Financial Departments to track the startup process, budget forecasting, and reporting.
- Lead and organize the team in the development of monthly presentations for senior executives; oversee preparation of project reports for management, clients, or others.
- Manage, develop, and follow up on project reporting on the department intranet site, including various reports, databases, and key performance indicators.
- Travel may be required to and from ships, shipyards, and/or vendor facilities located in Europe, Asia, and North America.
- Remain current with industry trends, especially as related to contemporary project management techniques as they impact project objectives.
- Review current processes and recommend process improvements utilizing an innovative mindset.

Requirements
- Bachelor’s or Master’s Degree with a concentration in Business Management, Industrial Engineering, Project Management, or a related field.
- 6-8 years of experience, with 4-5 years of experience leading a team.
- Strong leadership skills and proven experience in leading a medium to large team of professionals.
- Solid written and verbal communication skills; clear and precise communication at all levels of the organization is essential.
- Excellent interpersonal skills, with strength in communicating in a multicultural environment with all levels of employees and management.
- Excellent organizational and presentation skills.
- Ability to multi-task in a fast-paced environment.
- Solid understanding of accounting rules for expense and capital activities.
- Detail-oriented with excellent analytical, financial, and spreadsheet modeling skills.
- Familiarity with the working drawing process, including drawing, dimensioning, and detailing deck plans, elevations, sections, and details.
- Ability to understand and interpret architectural plans, sections, elevations, and details.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
- Proficiency in MS Word, Excel, PowerPoint, Visio, and Project.
- For internal candidates: Knowledge of CAR process (budget, approval, reconciliation, and reporting), AMOS, Clarity, Lotus Notes Database, JDE, and Essbase.
Skills
- Ability to read, analyze, and interpret common scientific and technical journals, business periodicals, financial reports, legal documents, and government regulations.
- Ability to clearly and effectively present information to top management, public groups, and/or boards of directors.
