About the Role

The Senior Manager, Event Marketing leads the execution of the Owner Events Channel strategy, overseeing the Inner Circle Events platform, which includes Owner Events Packages, Headlining Events (e.g., concert series), and onsite recurring Marketing events. This role owns and drives Owner Events Packages programming while partnering with site-based Directors of Marketing, Marketing Managers, and Event Managers/Coordinators to achieve and exceed tour and revenue budgets. The Senior Manager ensures all marketing and logistic plans align with enterprise best practices and corporate brand standards, complying with applicable Brand and Legal requirements. This position is based at MVW Headquarters in Orlando or an alternative Corporate or Regional Marketing & Sales Office.

Responsibilities

  • Inner Circle / New Channels
    • Identify, design, and execute new experiential event concepts for Inner Circle/Eventful, including private concerts, celebrity and entertainment experiences, culinary programs, Owner cruises, and sports-related events.
    • Coordinate and execute events from planning through post-event completion.
    • Manage event budgets, ensuring accurate forecasting, expense tracking, and invoice payment/reconciliation for talent and venues.
    • Serve as the primary liaison between event stakeholders, entertainment talent, agents, managers, production teams, and venue partners.
    • Facilitate event logistics, including talent scheduling, accommodations, backstage requirements, and event timelines.
    • Develop contracts with the Law department and negotiate fees, deliverables, and performance terms for talent, venues, and event partners.
    • Manage talent-related budgets, including appearance fees, travel stipends, accommodations, hospitality, production requirements, and contractual obligations.
    • Oversee talent communications to ensure clear expectations and seamless event participation.
    • Develop and maintain detailed run-of-show documents, production schedules, and event marketing materials.
    • Partner with site Marketing teams on event-day operations, ensuring alignment with program objectives and timelines.
    • Coordinate rehearsals and sound checks between talent and venue production teams.
    • Deliver engaging audience experiences and high-profile entertainment programs in collaboration with leadership teams.
    • Monitor event success metrics, collect feedback, and recommend improvements.
    • Ensure compliance with company policies, contractual obligations, and brand standards.
  • Channel Planning & Execution
    • Lead and manage the planning, development, and production of events and promotions in conjunction with Site Marketing Managers/teams and designated vendors.
    • Oversee event execution with site Event Managers/Coordinators, reviewing scheduled events and troubleshooting conflicts.
    • Support the AVP in implementing brand and regional business initiatives and communicating follow-up actions.
    • Consult with sites to determine event objectives, including meeting space and food/beverage needs.
    • Communicate event details and ensure materials comply with marketing and identity standards.
    • Initiate project request forms and financial briefs, submitting approved packages to RSDOM.
    • Ensure events meet RISK and COVID compliance guidelines.
    • Obtain approval for Points/StarOptions usage from VP of Marketing Operations and VP of Product Development.
    • Initiate the creative process and secure brand/legal approval.
    • Secure necessary rooms with IRM and create standalone emails to promote events.
    • Participate in strategic planning for domestic event needs and prepare creative work plans.
    • Conduct research, site visits, and contract negotiations as required.
    • Promote brand awareness and message uniformity across all events.
  • Owner Cruise Planning & Execution
    • Lead site Marketing teams on Owner cruise plans, including selecting sailings and executing action plans, timelines, and logistics.
    • Initiate project request forms for promotional and transactional Owner cruise emails, landing pages, and print materials.
    • Assist with creation, approval, and execution of Owner cruise emails and materials.
    • Obtain brand, risk, and legal approval for all Owner cruise materials.
    • Generate suppression files for vendors and communications teams for bookings and marketing emails.
    • Generate booking reports and audit Owner cruise bookings against vendor reports.
    • Create materials to inform Owners about sailing inclusions and itineraries.
  • Business Partnership
    • Develop relationships with outside vendors to enhance event experiences and increase revenue opportunities.
    • Collaborate with cruise ship partners to improve Owner experiences and revenue opportunities.
    • Ensure regular communication across all areas of event and Owner cruise operations.
    • Integrate promotional efforts with Marketing and eCommerce teams.
    • Manage the event website with a third-party host and maintain critical relationships.
    • Liaise with Risk Management to obtain vendor approvals and certificates of insurance (COIs).
    • Partner with the Law department on materials supporting events and Owner cruises.
    • Confirm room availability with the Inventory team.
    • Work with Owner Services on marketing events via the Insider and Spotlight and on Owner cruise setup needs.
    • Coordinate tasks and information across departments, including Law, Brand & Digital, Resort Sales and Services, HR, Marketing, Finance, and the Warehouse.
  • Systems
    • Maintain accurate event activity, tracking, and budget data/reports using appropriate systems.
    • Measure and report event success to stakeholders using relevant tools.
    • Manage WorkFront creative requests for Owner cruises and maintain the Event Progress Report.
    • Create effort codes and provide event results/reporting to stakeholders.
    • Maintain the Events Marketing Website, ensuring it is current and creating new tiles/landing pages.
    • Ensure contract obligations are adhered to and event expenses align with budgets.
    • Develop expense tracking and reporting for projects to inform future budgets.
    • Maintain the Owner cruise setup process (TSW and DGSun form) and tracking.
  • General Department Operations
    • Perform complex quantitative and qualitative analysis for business processes/projects.
    • Manage small projects or components of larger projects, making decisions on non-routine business requests.
    • Contribute to team, department, and business results, potentially directing non-management staff.
    • Identify opportunities to enhance business processes and provide training/guidance to less senior staff.
    • Participate in setting department operating plans and celebrating team successes.
    • Achieve results against budget within the scope of responsibility.
    • Demonstrate awareness of personal strengths and areas for improvement.
    • Perform other duties as appropriate.

Qualifications

  • Bachelor’s degree in Hospitality Management, Public Relations, Marketing, Business, or Communications (Marketing/Advertising concentration preferred).
  • Six to eight years’ experience managing vacation ownership on-site marketing programs.
  • Minimum of five years’ experience in event planning.
  • Proven experience delivering effective communications on time and on budget.
  • Skilled writer and editor.
  • Timeshare/Hospitality/Lodging industry experience is a plus.
  • MVW-specific knowledge and working knowledge of financial reporting for marketing channels are advantages.

  • Working knowledge of space planning, audio-visual planning, food/beverage planning, meeting space ratios, transportation services, and email marketing.
  • Intermediate proficiency in Office 365 (SharePoint, Yammer, Sway, OneDrive, OneNote) and Microsoft Word, Excel, and PowerPoint.
  • Excellent active listening, verbal, and written communication skills.
  • Ability to maintain confidentiality and integrity with sensitive issues.
  • Must be able to travel, work weekends, and long hours during events.
  • Physical capability to endure long hours in a fast-paced environment during events.
