Sr. Events Coordinator
About the Role
The Sr. Events Coordinator plays a key role in bringing the organization’s brand to life through planning and executing high-quality events. This position is responsible for managing the end-to-end event process, ensuring seamless execution, and collaborating cross-functionally to align events with the organization’s mission. The role impacts engagement with customers and stakeholders by creating effective event experiences that support the organization’s objectives.
Responsibilities
- Plan and execute company-hosted events from venue selection through post-event wrap-up.
- Coordinate event staffing, shipping, setup, execution, and teardown.
- Manage vendor and venue relationships, including contracts and communication.
- Create and maintain project plans, timelines, budgets, and checklists for events.
- Track event costs, process invoices, and report expenses.
- Communicate proactively with program directors, staff, speakers, vendors, and leadership about event status and changes.
- Serve as the on-site point of contact, handling real-time problem-solving.
- Manage event logistics including shipping, inventory, and materials.
- Collaborate with marketing to support event promotion and ensure brand consistency.
Requirements
- 3 to 6 years of corporate event planning experience.
- Experience supporting government conferences, military events, or federal customers.
- Strong project management and organizational skills with attention to detail.
- Ability to manage multiple events and adapt to shifting priorities.
- Strong written and verbal communication skills.
- Experience working across marketing, sales, and external vendors.
- Willingness to travel 4 to 10 times per year for events.
- Proactive problem-solving attitude.
- Interest in supporting software delivery to warfighters.
Preferred: experience in defense, national security, or gov-tech sectors.
Preferred: familiarity with CRM and marketing automation platforms such as HubSpot.
Pay
Salary range: $116,875 to $158,125 USD, remote within the United States. Compensation is based on experience and established using national benchmarking data.
