Sr. Administrative Partner
About the role
The Sr. Administrative Partner will provide administrative and project-specific support for Koch Fertilizer (KF), involving extensive contact with various levels of internal personnel as well as external customers and service delivery providers. The ideal candidate must be detail-oriented, collaborative, and a continuous learner who can adapt to a fast-paced environment.
Responsibilities
- Calendar, meeting, event, and catering coordination
- Expense reports preparation and reconciliation
- Travel booking and management
- Planning and executing large team meetings and customer events
- Supporting onboarding activities for new hires
- Systems administration for internal team enablement tools
- Strategizing and executing processes for team-wide support services
- Collaboration with office support capabilities such as IT, AV, Facilities
- Providing backup support to additional Administrative Partners
Requirements
- Experience coordinating calendars, prioritizing meetings, and resolving conflicts for multiple leaders
- Experience planning and executing events and managing small projects
- Experience using Teams, Outlook, Excel, PowerPoint, and SharePoint to coordinate work and communication
Qualifications
- Experience coordinating domestic and international executive travel, including managing passport renewals and applying for work visas
- Experience preparing and reconciling expense reports and managing purchasing documentation
- Administrative experience working with large and remote teams
- Experience in fast-paced environments
- Experience utilizing Artificial Intelligence (AI) to automate and optimize work
