About the Role
This position serves as an assistant in the Spiritual Life Department in conjunction with the Director of Spiritual Life, providing administrative support and acting as a hospitable host/hostess for guests in the Pastoral Respite Ministry. The role requires the employee to live on campus, with housing and food provided at no charge.
Responsibilities
- Pastoral Respite Program
- Support the Spiritual Life Center, staff, and center coverage.
- Meet and greet incoming pastoral respite guests.
- Ensure rooms are ready for guests prior to check-in, including Survey cards.
- Be familiar with and use the MAESTRO Reservation System.
- Monitor the cleanliness of the Brookside and Trinity buildings.
- Assist the Director in scheduling guest arrivals and departures in the Brookside/Trinity buildings.
- Exhibit warm hospitality as a host/hostess for guests in the Pastoral Respite Ministry.
- Check with guests daily at mealtime to resolve issues and ensure satisfaction.
- Ensure refreshments are stocked and available to Spiritual Life guests.
- Spiritual Life Programming
- Support the Director in all programming areas, including planning, coordinating, and assisting with chapel and Vespers services, staff services, community outreach, Spiritual Life conferences and Institutes, and scheduling Spiritual Direction sessions.
- Handle administrative duties related to pastoral care (weddings, memorials, baptisms).
- Schedule day and night coverage in cooperation with Spiritual Life.
- Assist with programming and events promotion through email, articles in The Breeze, social media, and other Spiritual Life points of contact.
- Perform other duties as assigned, including working weekend, evening, or night shifts and/or holidays to support the 24-hour operation.
Requirements
- Excellent administrative and telephone skills.
- Proficiency in Microsoft Office and the ability to learn HMS software.
- Ability to exhibit warm hospitality in the operation of the Spiritual Life Department and Pastoral Respite Program.
- Must live on campus (housing and food provided at no charge).
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
