About the Role

The Compliance & Claims Specialist maintains full regulatory record-keeping compliance across DOT and OSHA while managing the full lifecycle of workers' compensation and auto-liability claims.

Responsibilities

Regulatory Record-Keeping

DOT Compliance

• Maintain driver qualification (DQ) files in accordance with 49 CFR391, including applications, MVRs, medical examiner certificates, road tests, and employment verification.
• Track, record, and report pre-employment, post-accident, random, reasonable suspicion, return-to-duty, and follow-up drug & alcohol testing under 49 CFR Part 382.
• Record, categorize, and retain all DOT recordable crashes with supporting documentation.

OSHA Compliance

• Maintain OSHA 300, 300A, and 301 injury and illness records; post the 300A summary annually as required by 29 CFR 1904.
• Record, categorize, and retain all recordable workplace injuries and illnesses with supporting documentation.

Workers' Compensation Claims Lead

• Serve as primary liaison between injured employees, supervisors, medical providers, adjusters, and legal counsel.
• Report new workers' compensation claims to the carrier within established timeframes and confirm first notice of injury documentation is complete and accurate.
• Monitor claim status, reserves, and payments; review adjuster diaries and challenge reserve levels or treatment denials where warranted.
• Coordinate modified duty and return-to-work placements with operations, ensuring transitional assignments align with medical restrictions.
• Track open claims to resolution, including identification of claims appropriate for settlement, mediation, or litigation management.
• Maintain claim files in the designated system of record, including medical documentation, wage records, correspondence, and reserve adjustments.
• Analyze loss runs monthly to identify trends, large-loss exposure, and claims requiring escalated handling.

Auto/General Liability Claims Lead

• Document and report fleet auto-liability claims, including third-party bodily injury, property damage, cargo, and physical damage.
• Coordinate accident reconstruction, scene documentation, witness statements, police reports, and driver statements at first notice.
• Pursue subrogation and salvage recovery against at-fault third parties, including coordination with subrogation vendors and legal counsel.
• Monitor open auto claims against reserve adequacy, litigation status, and settlement limits.
• Track recoveries and report on subrogation outcomes.
• Ensure contractor/vendor Certificate of Insurance (COI) are accurate and up to date.

KPI Development & Reporting

• Design, build, and maintain a comprehensive KPI framework spanning both compliance and claims functions, with metrics tied to regulatory standing, loss frequency, loss severity, and cost of risk.
• Maintain and communicate monthly, quarterly, and annual safety incentive program.

Requirements

• Bachelor's degree in Risk Management, Safety, Business Administration, or a related field, or equivalent combination of education and experience (preferred).
• Associate in Risk Management (ARM), Certified Safety Professional (CSP), or equivalent designation (preferred).
• Experience with self-insured retention programs, captive arrangements, or large-deductible workers' compensation structures.
• Minimum 5 years of experience in transportation compliance, risk management, or insurance claims handling, with direct DOT, OSHA, or EPA record-keeping responsibility.
• Working knowledge of 49 CFR Parts 382, 383, 390–396, 29 CFR 1904, and applicable EPA record-keeping standards.
• Demonstrated experience managing workers' compensation and/or commercial auto claims, either in-house or in coordination with carriers and TPAs.
• Familiarity with Mississippi & Tennessee workers' compensation statutes in operating jurisdictions.
• Proficiency with claims management systems and electronic DQ file platforms.
• Strong written communication skills for regulatory filings, claim documentation, and management reporting.
• Primarily office-based with periodic visits to terminals, shops, and field locations.
• Occasional after-hours availability for serious incident reporting and claim escalation.
• Travel up to 15% for audits, claim site visits, and regulatory meetings.
• Ability to manage multiple projects, establish priorities, and accomplish goals & objectives.
• Proficiency with MS Excel, MS PowerPoint, and MS Word.
• Analytical and problem-solving skills.
