Spare Parts Specialist

The Spare Parts Specialist reports to the Customer Support Manager, supports the Formova Division, and works from Chalfont, PA (approximately 45 minutes from Philadelphia).

Responsibilities

• Work with customers – process purchase orders and manage issues to meet revenue goals.
• Coordinate with shipping and purchasing to ensure shipment times are met.
• Answer emails from customers regarding spare‑parts requests.
• Use Salesforce, Sytline 9 ERP, and Excel to manage purchase orders for spare parts.
• Create reporting on spare‑part activities.
• Update the team SharePoint with work‑in‑process information and document issues and resolutions.
• Maintain a professional communication style in written and verbal exchanges with customers.
• Manage a high volume of requests and apply critical‑thinking/problem‑solving strategies to resolve issues.
• Process transactional exceptions by applying defined rules, seeking approvals where required, and escalating complex issues appropriately.
• Maintain and update records of spare‑parts transactions in ERP/inventory systems, ensuring data quality, traceability, and correct documentation.
• Communicate proactively with customers to confirm requirements, provide status updates, set expectations on lead times/availability, and prevent rework.
• Coordinate with internal teams (logistics, warehouse, planning, procurement, service, sales) to remove blockers and ensure timely order fulfillment.
• Support routine reporting (e.g., open orders/returns, backorders, expedite lists) and provide case summaries or follow‑ups as directed.
• Support inventory‑control activities, including cycle counting and stock reconciliation, and flag data issues such as obsolete codes or substitutions to relevant owners.
• Participate in continuous‑improvement activities, suggesting updates to templates, item‑master data, and process steps to improve accuracy and cycle time.
• Participate in training programs to develop technical and customer‑service skills.
• Share practical tips and know‑how with junior colleagues and assist with routine questions, supporting peer learning.
• Ensure compliance with company policies, quality standards, and regulatory requirements.
• Maintain a customer‑focused approach balancing responsiveness with accuracy and commercial rules.

Requirements

• High school diploma or GED required; Bachelor’s degree preferred.
• Minimum of 1 year experience in a role as an operational buyer, planner, or in an MRP environment.
• Proficient in using systems to track orders, data, and customer information.
• Experience interpreting data and making business recommendations.
• Must be able to work in the US now and in the future without company sponsorship.
• Must be open to working Tuesday, Wednesday, Thursday in the office and from home Monday and Friday.

Schedule

Hybrid schedule – three days in the office (Tuesday, Wednesday, Thursday) and two days remote (Monday and Friday).
