Spa Reception Agent - Part Time
The Grand Hyatt Deer Valley Hotel is located in the famed Deer Valley ski resort, approximately 40 minutes from the Salt Lake City International Airport. Part of a new development, the property will incorporate 17 ski lifts, ±1,600 residential units, 8 hotels with a total of ±1,350 rooms, ±250,000 square feet of conference and retail space, and one of the largest “ski beaches” in the world. The Grand Hyatt features 436 luxury accommodations including 359 guest rooms, 55 residences, and 22 suites, along with approximately 30,000 square feet of versatile indoor meeting space, a lobby-level 3-meal restaurant and bar, signature bar, pool/après ski bar and grill, coffee bistro, large outdoor event terrace, pool, 3 whirlpools, kids club, and fitness area.
About the role
The Spa Receptionist serves as the ambassador of the spa experience, fostering an atmosphere of calm, relaxation, and exceptional guest care. As the first and final point of contact for guests, this role manages reservations, schedules treatments, checks guests in and out, processes payments, and provides knowledgeable recommendations on spa services and retail products. The Spa Receptionist delivers outstanding guest service, promotes wellness, supports spa revenue opportunities, and ensures each guest enjoys a seamless and memorable spa experience from arrival through departure.
Responsibilities
- Complete daily opening, shift-change, and closing checklists accurately.
- Open and close the spa reception and spa amenities.
- Greet all guests with a friendly, calm, and professional demeanor.
- Manage appointment bookings, confirmations, and cancellations efficiently via phone, in person, and email.
- Monitor daily appointment schedules and assist with maximizing provider utilization and treatment room occupancy.
- Post updated appointments to the provider channel to ensure proper communication within the spa team.
- Communicate special guest requests, preferences, allergies, and concerns to spa providers and leadership.
- Check guests in and out of Agaci Spa.
- Provide tours of Agaci Spa locker rooms and facilities.
- Handle guest amenity preparation and special occasion arrangements when applicable.
- Answer guest questions about Agaci Spa, the spa menu, or retail items.
- Resolve guest concerns and service recovery situations professionally and promptly.
- Process payments, handle billing inquiries, and generate invoices for guests’ spa services and retail purchases.
- Upsell spa services, enhancements, packages, and retail products to meet spa revenue goals.
- Provide knowledgeable recommendations on spa treatments and retail products.
- Maintain knowledge of current spa promotions, services, pricing, policies, and facility updates.
- Maintain a clean, organized, and tranquil front desk and lobby area (no personal items in view of guests).
- Support the spa team in ensuring a seamless and relaxing guest experience.
- Assist spa attendants with tidiness of locker rooms and waiting areas, help with attendant laundry and supplies as needed.
- Assist with inventory counts, retail stock replenishment, and reporting low inventory levels to management.
- Keep retail shelves stocked and clean at all times.
- Sweep and mop the lobby/reception area as needed.
- Assist spa providers with room flips as needed when providers don’t have enough time or due to last-minute schedule changes.
- Work closely with spa attendants and providers to ensure a relaxing guest experience.
- Ensure compliance with all spa, hotel, health, safety, and sanitation standards.
- Participate in team meetings, trainings, and ongoing professional development opportunities.
- Promote wellness and self-care through thoughtful communication and service.
Requirements
- Ability to stand and walk for extended periods throughout the shift.
- Ability to lift, carry, push, and pull up to 20 pounds occasionally.
- Ability to bend, stoop, reach, kneel, and perform repetitive motions as needed.
- Ability to operate standard office equipment, computers, telephones, POS systems, and reservation software.
- Available to work weekends and holidays.
- Available to work open and/or closing shifts.
- Willing to drive in all seasonal conditions.
- Must have or be willing to attain an alcohol server certification and/or food service permit as required by local or state government agency.
Qualifications
- Previous experience as a receptionist, front desk, or customer service role (spa or hospitality experience preferred).
- Sales experience and ability to confidently recommend products and services.
- Ability to maintain professionalism while handling sensitive guest situations.
- Strong problem-solving and conflict-resolution skills.
- Exceptional attention to detail and follow-through.
- Self-motivated with the ability to work independently and as part of a team.
- Professional appearance and adherence to grooming standards.
- Ability to read, write, and communicate effectively in English; additional languages are a plus.
- Excellent communication and interpersonal skills.
- Strong organizational abilities and attention to detail.
- Comfortable using booking and POS systems is a plus.
