General Description
The State Office of Risk Management (SORM) is seeking a receptionist in the Intake Management Department. This entry-level administrative support position involves representing the agency for clients, claimants, and vendors.
Responsibilities
- Manage calls effectively
- Manage incoming faxes and emails, uploading them to workflow queues in the Risk Management Information System (RMIS)
- Process documents from the Texas Department of Insurance-Division of Workers' Compensation (TDI-DWC)
- Process outgoing mail
Requirements
- Serve as the agency Receptionist, answering phones, transferring calls, greeting visitors
- Process electronic documents received from TDI-DWC by assigning the appropriate document type
- Maintain coordination of id badges for visitors and employees
- Maintain coordination of visitor and interviewee sign-in books
- Prepare out-going mail for medical bills to be returned to providers
- Check agency voice mail box and forward messages to appropriate personnel
- Provide excellent customer service
- Perform related work as assigned
- Maintain relevant knowledge necessary to perform essential job functions
- Absorb work regularly in compliance with agreed-upon work schedule
- Ensure security and confidentiality of sensitive and/or protected information
- Comply with all agency policies and procedures, including those pertaining to ethics and integrity
Qualifications
- Education: Graduation from a standard senior high school or equivalent
- Experience: Two years of full-time experience working in general office, complex clerical, secretarial or closely related field; may substitute sixty credit hours from an accredited college or university for the required experience
- Knowledge: General office or administrative practices and procedures, organizational behavior, working under pressure and meeting deadlines, organization, long-range and short-range planning, using a computer for word-processing and data entry/retrieval, providing customer service, gathering and analyzing accurate and relevant information, effective oral and written communication
- Skills: Working under pressure and meeting deadlines, organization, long-range and short-range planning, using a computer for word-processing and data entry/retrieval, providing customer service, gathering and analyzing accurate and relevant information, effective oral and written communication, adhering to work schedules, following procedures with respect to leave, submitting accurate timesheets by prescribed deadlines, receiving and positively responding to constructive feedback, working cooperatively with others in a professional office environment, providing excellent customer service, working more than 40 hours as needed and in compliance with the FLSA, working 8 a.m. - 5 p.m., Monday through Friday, lifting and relocating 30 lbs.
Preferred Qualifications
- Graduation from a four-year accredited college or university with a bachelor's degree
- Experience with Adobe Pro
- Experience working in a Risk Management Information System (e.g. Origami)
