Shipping Clerk
About the role
The Shipping Clerk is responsible for performing manual and clerical work in the Shipping environment. Key responsibilities include ensuring daily internal controls are followed, preparing goods for shipment, recording shipment data, and communicating with various departments.
Responsibilities
- Ensures daily internal controls are followed, performs self-assessment tests as required; develops corrective actions with management team to correct deficiencies.
- Acts as liaison between the Accounting and Logistics departments.
- Invoices all customer orders according to standard operating procedures and specifications; balances invoiced batches against shipping logs for quantities.
- Provides documentation to the accounting department as requested; maintains shipping log (Manual/Excel).
- Assists plant with physical inventory as needed.
- Audit invoices for accuracy and verify load amounts are correct.
- Assembles orders and prepares goods for shipment.
- Records shipment data, including weight, customer freight charges, and space availability.
- Notes all discrepancies. Reviews returned documents for errors, damages, and reports to CSR.
- Reprints place cards for short, shipped shelf items; verifies keys upon receipt the next morning.
- Checks shipping to ensure correctness of shipment against all documentation.
- Prepares documentation such as work orders, bills of lading, and shipment orders to route materials.
- Verifies and enters data for all incoming material shipments.
- Examines contents and compares with records, such as manifests, invoices, or orders to verify accuracy of incoming or outgoing shipment.
- Records shipment data such as weight, charges, space availability, damages, and discrepancies for reporting, accounting, and recordkeeping purposes.
- Contacts carrier representative to make arrangements and issue instructions for shipment and delivery of raw materials.
- Communicates with establishment representatives to rectify problems such as damages, shortages, and non-conformance to specifications and files freight claims.
- Computes amounts, such as space available, storage, shipping, and demurrage charges using a calculator or price list.
- Sends packages via FedEx or UPS as needed.
- Additional responsibilities as requested by Supervisor/Manager.
Requirements
- High School Diploma or GED required. Associates degree preferred but not required.
- Previous manufacturing experience preferred but not required.
- Able to read and write in English preferred.
- Basic math skills with ability to perform basic math calculations, such as addition, subtraction, multiplication, and division. Knowledge of fractions and decimals.
- Ability to read and interpret a variety of instructions furnished in written, oral, diagram, or schedule format.
- Good hand/eye coordination.
- Strong organizational skills required.
- High level of responsibility, first and final check of all inbound material (quantities and quality), works with little to no supervision.
- Excellent and constant communication skills needed, regular communication with Warehouse and Inventory Supervisor, department employees, and truck drivers.
- Ability to use a computer for data entry.
- Intermediate knowledge of EXCEL.
- Ability to use Microsoft Office.
- Able to communicate with customers and vendors.
Physical/Mental Demands
- Manually lift/slide/flip materials or boxes of material (max. 50 and 51 or higher with assistance).
- Face-paced position - constant flow of materials, attention to details required.
- Mildly controlled environment - can expect some cold and heat during extreme weather conditions.
