About the Role

Therma is seeking a detail-oriented and organized Sheet Metal Shop Administrator to support the day-to-day administrative operations of our Sheet Metal Shop. This role plays a critical part in ensuring production workflows, payroll processing, inventory transactions, and purchasing activities are accurately documented and processed. The ideal candidate thrives in a fast-paced environment, enjoys working with multiple systems, and takes pride in delivering exceptional administrative support to shop operations.

Responsibilities

  • Production & Cutsheet Administration
    • Process and manage sheet metal cutsheets to support shop production activities.
    • Input customer information into Job Entry Sheets (JES) using the Spectrum database.
    • Coordinate job setup activities and route completed files to the Job Request Department for job number assignment.
    • Verify assigned job numbers and ensure cutsheets are processed accurately.
    • Review cutsheets and stamp special department designations, including Bench and Weld, as required.
    • Distribute completed cutsheets to Shipping & Receiving, Data Input personnel, and applicable shop departments.
    • Maintain organized electronic records by filing processed cutsheets within Viewpoint Spectrum.
    • Provide backup support for job setup and cutsheet processing functions as needed.
  • Payroll & Timekeeping Support
    • Assist with the collection, review, and entry of employee timecards into the timekeeping system.
    • Ensure payroll information is submitted accurately and in a timely manner.
    • Support shop employees and supervisors with timekeeping-related questions and corrections.
  • Inventory & Purchasing Administration
    • Process inventory charge-outs and maintain accurate transaction records.
    • Create and process purchase orders to support shop operations and material needs.
    • Assist with tracking and documenting inventory-related transactions.
    • Coordinate with procurement, warehouse, and production teams as needed to ensure smooth workflow execution.
  • Administrative Support
    • Maintain accurate records, files, and operational documentation.
    • Support shop leadership with administrative tasks, reporting, and data entry.
    • Communicate effectively with internal departments to ensure timely processing of production and administrative requests.
    • Identify opportunities to improve administrative processes and workflow efficiency.

Requirements

  • High school diploma or equivalent.
  • 2+ years of administrative, operations support, or office coordination experience.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong organizational and communication skills.
  • Ability to work collaboratively with shop personnel, supervisors, and cross-functional teams.

Preferred Qualifications

  • Experience supporting manufacturing, sheet metal, construction, mechanical contracting, or industrial operations.
  • Experience with Viewpoint Spectrum or similar ERP systems.
  • Experience processing payroll timecards and supporting payroll administration.
  • Familiarity with inventory management and purchase order processing.
  • Knowledge of shop production workflows and job cost tracking.

Pay

Hourly compensation: $30–$35. Actual compensation will be based on skills, experience, and work location, and may vary from the posted range.
