Responsibilities
- Aid all Milestone programs in ensuring compliance with systems & regulatory requirements.
- Oversee the implementation and development of administrative systems and networks within Milestone, ensuring efficiency and smooth workflows.
- Coordinate intake activities, information systems management, and service monitoring.
- Manage financial and programmatic oversight, and develop relationships with PFQ Fiscal Department and Milestone program specialists.
- Directly supervise staff training and monitor their use of systems.
- Support Milestone’s mission, confidentiality, compliance, quality improvement, and system communication.
- Manage service authorizations in HCSIS for the agency both internally and externally.
- Oversee IDA program admissions and maintain a close working relationship with Supports Coordination Unit Directors, Supervisors, and their staff.
- Communicate and coordinate with the PFQ EHR Application Support Specialist for data reporting and staff training on electronic recordkeeping.
- Support accreditation, reporting, billing alignment, licensing needs, and payer/regulatory compliance.
- Lead onboarding, staff training, and CAB-related activities as they pertain to internal electronic systems.
- Monitor documentation, utilization, attendance, technical support, implementation, and reporting needs.
- Support and champion the adoption of electronic documentation within the agency and assist management staff with understanding the requirements.
- Train staff and monitor compliance with Electronic Visit Verification requirements.
- Oversee review of claims to be approved in Qualifacts weekly and coordinate submissions with Billing Dept.
- Complete corrections, reversals, and adjustments in Qualifacts and Promise as needed to reconcile claims and ensure accuracy.
- Communicate and coordinate with Fiscal dept. re: revenue discrepancies, etc.
- Coordinate with program leaders and provide support for the licensing process as it relates to the systems.
- Understand and comply with Federal, State, and County regulations, as well as agency Policies and Procedures.
- Facilitate change management among program leadership and staff through analyzing and prioritizing system enhancement requests, recommending workflow enhancements, performing, and documenting the impact of changes, communicating, coordinating, and training staff on these changes.
Qualifications
- Bachelor’s Degree in Human Services
- One year of IDA/BH system experience
- Occasional travel
- Lifting up to 25 lbs
- Travel may be required for meetings and trainings
- Act 33 and Act 34 clearance and FBI background check, if applicable
- Valid PA, OH, or WV Driver’s license
