Service Dispatcher

About the role

JG Facilities is seeking an organized, customer-focused Service Dispatcher to coordinate daily service operations for our Facilities Division. This role serves as the central point of communication between customers, field technicians, vendors, and internal staff to ensure service requests are scheduled, dispatched, tracked, and completed efficiently. Responsibilities

• Dispatch & Scheduling
  • Receive incoming service requests by phone, email, and customer portals.
  • Create and manage work orders within the company's service management software.
  • Schedule and dispatch technicians based on location, skillset, availability, and job priority.
  • Coordinate emergency service calls and adjust schedules as needed.
  • Monitor technician schedules throughout the day and make real-time adjustments.
• Customer Service
  • Serve as the primary point of contact for customers regarding service requests.
  • Maintain regular communication with customers regarding appointment times, delays, and job status.
  • Provide professional and timely responses to customer inquiries.
  • Ensure customers receive exceptional service throughout the repair process.
• Work Order Management
  • Maintain accurate documentation of work orders, technician notes, labor, and service updates.
  • Track open service calls through completion.
  • Verify completed work orders before closing them.
  • Assist with obtaining customer approvals when required.
• Team Coordination
  • Communicate effectively with field technicians throughout the day.
  • Coordinate with vendors to source and order materials for service jobs while maintaining strong vendor relationships.
  • Utilize construction knowledge to identify and order appropriate materials needed to support field technicians and service operations.
  • Work closely with the Facilities Manager regarding technician workload, scheduling priorities, and customer needs.
  • Escalate service issues requiring management attention.
• Administrative Support
  • Maintain organized service records and customer information.
  • Assist with reporting, scheduling metrics, and service documentation.
  • Prepare and process customer invoices upon completion of work, ensuring work orders, labor, materials, and billing information are accurate prior to invoicing.
  • Perform other administrative duties as assigned.

Requirements

• High School Diploma or GED.
• 2+ years of dispatching, scheduling, customer service, or administrative experience.
• Excellent organizational and multitasking skills.
• Strong written and verbal communication.
• Proficiency in Microsoft Office (Outlook, Excel, Word).

Preferred Qualifications

• Experience in commercial facilities maintenance, construction, electrical, or a related trade environment.
• Working knowledge of construction materials and the ability to identify and order materials for service projects.
• Experience with dispatching or work order software (SFO) Sage Field Operations, Service Channel).
• Bilingual (English/Spanish) is a plus.

Schedule

Monday through Friday 7:00 AM – 4:00 PM. Full-time, in-office position located in Chino, CA.
