Service Dispatch

About the role

A Service Dispatcher is responsible for administrative duties including billing, handling incoming service calls from guests and team members, scheduling and reconciling work orders, dispatching service technicians, ordering and receiving parts and stock for the warehouse, and performing other duties as assigned.

Responsibilities

• Answer calls in a professional and timely manner and respond accordingly.
• Enter all service work orders into the property management system accurately and promptly.
• Dispatch all service work orders to the appropriate field worker efficiently.
• Monitor open work orders and ensure timely completion.
• Assist with and support all process improvement efforts.
• Foster team spirit through feedback and positive reinforcement to team members.
• Assist with cleaning duties when needed.
• Make recommendations to improve service and ensure more efficient operation.
• Effectively resolve quality issues with guests/owners.
• Follow up with owners, guests, and internal departments in a timely manner that benefits both guests and the company.
• Perform other duties, functions, or tasks as assigned.

Requirements

• Must have computer skills including Microsoft Word, Excel, and the ability to learn new programs.
• Must possess excellent customer service skills.
• Must possess excellent communication skills, both oral and written.
• Must be self-motivated to handle guest, owner, or team member issues.
• Must be able to sit at a computer/phone for an entire shift.
• Must have excellent organizational skills.
• Must be able to work varied shifts as needed, including nights and weekends.

Physical Requirements

• Must be able to sit and work on a computer/phone for an entire shift.
• Must be able to move/lift up to 15 pounds as needed.
• Must be able to assist with housekeeping duties if needed.
