Job Details Description The Service Coordinator will own the quote-to-invoice service workflow, coordinating customer orders, scheduling, resource planning, project administration, invoicing, and closeout activities while developing and maintaining the procedures. This role will also include being the administrator of the IRIS software solution, ensuring successful development of customer sites, data management, internal reporting, and ongoing support. This includes leading customer onboarding and internal training related to IRIS. Responsibilities: Service Coordination:Support and schedule APM / Asset Specialist services with customers and field service teams.Support creation and development of service proposalsEstablish and maintain organized records of proposals, purchase orders, and change ordersTracking and maintaining status of open proposalsCreate customer orders, work orders, work tasks, and projects within IFS for all service work performed by Applied Control service personnelTrack and communicate service progress to internal stakeholders and customers.Manage internal business systems to ensure proposals are properly accounted for in IFS/ERPMaintain the service schedule and publish to all required parties weeklyTrack actual versus budgeted costs in IFS, monitor profitability, and provide feedback to the APM Service Leaders of project activity that may be in questionSubcontractor management including placing orders, reviewing and approving their invoices for accuracyInvoice projects & work orders in a timely mannerIRIS Platform Management:Own end-to-end delivery of the IRIS software tool for customers and internal teams.Ensure data is collected, validated, and reported according to project timelines.Coordinate ongoing development of IRIS sites and enhancements based on customer needs.Training & Onboarding:Lead internal training for team members on IRIS features and functionality.Deliver customer onboarding, ensuring a smooth transition post-sign-up and ongoing user support. Qualifications: Bachelor’s degree (preferred).2–5 years of experience in a service coordination, project coordination, or technical support role, preferably in industrial automation or a related technical field.Strong working knowledge of Microsoft Office 365 tools (Excel, PowerPoint, Teams, SharePoint, Copilot, etc.).Experience with IFS ERP (preferred)Experience with technical or SaaS tools preferred (IRIS or similar platforms a plus).Excellent communication, time management, and customer service skills.Highly organized and detail-oriented with the ability to manage multiple tasks and priorities.Self-starter with an entrepreneurial mindset and a proactive, hands-on approach. Working Conditions: Includes working primarily in an office setting, with occasional assignments outside the office. This position may require a flexible schedule if there are training events or customers in the building on an occasional basis. The role is a full-time onsite position. Physical Requirements: Sitting, standing, walking, talking, hearing, seeing, bending, stooping, lifting & carrying. Ability to sit for extended periods of time working on a PC. Ability to reach frequently with both hands and arms and operate standard office equipment. Ability to lift boxes of moderate weight (+/- 20 to 25 pounds) and carry them short distances. This role resides on-site in Centennial Colorado. Compensation: $27-$33/hr.
