About the role
The Service Coordinator is responsible for managing administrative workflow for the Service Department, including creating work orders, answering service calls, quoting repairs, scheduling technicians, handling invoicing, and supporting parts personnel.
Responsibilities
- Create work orders and answer incoming service calls
- Quote recommended service repairs and assist with the job calendar and technician schedules
- Process completed work orders while monitoring gross profit (GP) goals
- Follow up on quoted service repair jobs and recommended repairs
- Support other Service department roles as needed
- Assist the parts and sales departments to provide excellent customer service
- Electronically manage parts using company business systems
- Perform other duties as assigned
Requirements
- High school diploma or equivalent
- 2 years of administrative experience in a service-related business
- 2 years of scheduling field technicians and/or customer service experience
Qualifications
- Computer literacy, including proficiency in Microsoft Office (Outlook, Word, Excel)
- General knowledge of service parts and the service industry, including basic mechanical and technical aptitude
- Strong time management skills and ability to prioritize work assignments
- Proven interpersonal skills with both internal and external customers
- Ability to work as a team player and handle high-pressure situations
- Basic math skills for computing percentages, multipliers, sales tax, and totals on parts orders
Preferred Qualifications
- Associate Degree or equivalent
- 4+ years of administrative experience in a service-related business
- 4+ years of scheduling field technicians and/or customer service experience
