About the role

DuraServ's Service Coordinator is the operational nerve center of the branch, ensuring every customer call, service order, and parts request moves without a missed beat. This active coordination role connects customers, technicians, parts suppliers, and management into a single, seamless service experience. Accuracy is mission-critical—every detail handled correctly keeps the branch running as intended, while missed details create downstream consequences.

Responsibilities

  • Customer & Communication: Answer inbound calls and emails, providing responsive, professional support; return calls promptly; serve as a professional point of contact for internal and external customers; review incoming sales and service leads and coordinate delegation efficiently.
  • Dispatch & Coordination: Schedule and dispatch service calls by matching the right technician to the right job with the right information; accurately prepare service orders; order parts as needed and maintain accurate records; work closely with management and technicians to ensure every work order is complete, correct, and timely.
  • Administration & Accuracy: Invoice service work and planned maintenance accurately and on time; post vendor invoices for Accounts Payable with attention to detail; process customer credit card payments securely and file records appropriately; conduct warehouse-related duties and support additional office functions as assigned.

  • Detail-oriented where it matters—you prevent invoicing errors, parts miscommunications, and misfiled records that create downstream problems.
  • Comfortable in a fast-paced environment—priorities shift, calls stack up, and urgency is the baseline; you thrive under pressure.
  • Administratively fluent—you know Microsoft Office (Word, Excel, Outlook), pick up new systems quickly, and maintain records that hold up to scrutiny.
  • A team anchor—the technicians, operations manager, and customers depend on you to be accurate, available, and professional; you take that responsibility seriously.

Requirements

  • High School diploma or equivalent.
  • Proficiency with Microsoft Office—Word, Excel, and Outlook are daily tools in this role.
  • Strong organizational and communication skills—you manage multiple priorities simultaneously without losing quality on any of them.
  • Ability to work in a fast-paced, high-volume environment where responsiveness and accuracy are equally non-negotiable.

Preferred Qualifications

  • 1–3 years of experience in a service coordination, dispatch, administrative, or operations support role.
  • Experience with work order management, invoicing, or service administration in a field service or similar environment.
  • Background in commercial dock and door, mechanical services, or industrial services is a meaningful advantage.
