Position Summary
Key Responsibilities
- Open, update, and close repair orders accurately in the dealership management system
- Process service invoices, internal work orders, and warranty documentation
- Maintain accurate service records in accordance with dealership and manufacturer requirements
- Support service advisors and technicians with administrative tasks and documentation
- Audit repair orders for completeness, accuracy, and proper coding
- Submit and track warranty claims and ensure proper documentation is attached
- Reconcile daily service department deposits and ensure accuracy of all transactions
- Complete and process purchase authorizations in accordance with dealership policies
- Cook up internal communications between service, parts, and accounting departments
- Assist with scheduling workflow and shop load balancing through system updates
- Maintain organized digital and physical filing systems for service documentation
- Ensure compliance with Hyundai policies and dealership operational standards
Qualifications
- Previous administrative experience required (automotive dealership experience preferred)
- Strong attention to detail and accuracy in data entry and financial reconciliation
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Proficiency with computer systems and dealership management software (CDK, Reynolds & Reynolds, or similar preferred)
- Strong organizational and time management skills
Preferred Skills
- Experience with warranty processing, repair order auditing, and dealership accounting functions
- Familiarity with dealership service operations and terminology
- Ability to work independently while supporting a team environment
