Scheduling and Coordinating

  • Komatsu Care Services, Field campaigns, 90-day warranty follow up
  • Work order Management: Open work orders for all Bridgeport, WV service department jobs.
  • Review descriptions and wording for Anderson internal documentation and customer invoicing.
  • Parts are reconciled and accounted for correctly before closing (returned to inventory if not used).
  • Attachments are complete including pictures, hour meter readings, etc.
  • Closing work orders in a timely manner to reduce last labor to invoice timeframe.
  • Warranties: Open claims, prepare all documentation for the Warranty Administrator (pictures, descriptions) and file in a timely manner.

Safety Meetings

  • Coordinate safety meetings, toolbox talks for service managers.

Equipment Inspections

  • Maintain records for crane inspections (truck and shop cranes) and daily vehicle inspection reports.

Oil Samples

  • Review and follow up when a critical or abnormal report comes back.

Create Service Quotes

  • PM’s and additional services.

Manage New Hire Technician Orientation and Training

  • Process and track technicians' boot orders and tool reimbursements, uniforms, etc.

Manage Events

  • Coordinate “Events” that are set up by HR to track licenses, DOT physicals, time off.

General Administrative Support

  • Weekly time is posted and approved.
  • GPO’s are created and approved.
  • Accident reports are prepared.
  • Customer and internal calls are answered and handled directly or referred to a manager for optimal customer service.

Required Qualifications

  • High school diploma or equivalent;
  • Work Experience in Heavy Equipment, Auto, Parts dealerships;
  • Administrative experience and knowledge (Microsoft office);
  • Ability to juggle multiple tasks and prioritize activities with assistance from Service Manager;
  • Customer service experience is a plus, since Service Coordinator will be handling customer calls.

Compensation And Benefits

  • Compensation depends on location, experience/skills, overtime: $20.00-$24.00 per hour.
