Duties & Responsibilities
- Service Administration & Customer Support:
- Calculate customer bills using the dealership computer system
- Receive and process cash, check, and credit card payments accurately
- Answer and transfer phone calls professionally
- Schedule service appointments accurately
- Respond promptly to customer emails, texts, and online chats
- Ensure repair orders are properly signed and closed out
- Balance daily cash, check, and credit card deposits
- Scan and electronically file documents daily
- Perform receptionist duties as needed
- Communicate with service advisors and department managers regarding customer needs
- Maintain knowledge of dealership products, services, and pricing updates
- Rental Fleet Coordination:
- Aid customers with rental vehicle reservations and agreements
- Verify insurance coverage and rental authorizations with insurance companies
- Obtain required documentation including driver’s license, proof of insurance, and signatures
- Conduct vehicle check-in/check-out inspections for damage, fuel level, and mileage
- Ensure rental agreements are closed promptly upon vehicle return
- Educate customers on rental policies and responsibilities
- Track rental fleet activity, revenue, and days rented
- Cook up with service advisors regarding customers currently using rental vehicles
- Help maintain rental fleet readiness by assisting with vehicle organization, cleanliness, and turnaround
- General Responsibilities:
- Maintain a professional, organized, and customer-friendly work environment
- Protect customer information and maintain confidentiality
- Follow all company safety policies and procedures
- Perform additional duties as assigned by management
Qualifications
- Excellent customer service and communication skills
- Positive attitude and ability to work well with others
- Strong organizational and multitasking abilities
- Basic computer and office equipment skills
- Ability to maintain professionalism in a fast-paced environment
- Previous customer service experience preferred
- Ability to work some Saturdays
- Valid driver’s license required
- Ability to operate a manual transmission preferred
- Must be able to pass pre-employment background check and drug screening upon conditional offer
