Senior Staff Accountant
Exempt, full-time position reporting to the Finance Director.
About the Role
The Senior Staff Accountant supports Brother Wolf Animal Rescue's financial, accounting, and bookkeeping operations. Working collaboratively across departments, this individual ensures that financial processes and documentation are maintained to the highest standard. This role requires a detail-oriented professional who thrives in accuracy, takes pride in precision and follow-through, and has a strong foundation in accounting principles and accounting technology.
Responsibilities
- Perform daily bookkeeping activities within QuickBooks Online, including data entry and journal entries.
- Complete month-end close procedures, including income reconciliations and vendor account reconciliations.
- Support bill payment processes, including approval of payables.
- Confirm timely and accurate receipt of vendor invoices while managing vendor relationships.
- Ensure accurate tracking of grants and restricted funds.
- Assist with retail inventory, including ordering, receiving, physical counts, and adjustments to the Square system.
- Manage the credit card system and payments.
- Communicate with staff to obtain financial records and documentation.
- Conduct training with staff on financial processes and procedures.
- Assemble data for sales tax reporting submission.
- Assist with the preparation for 1099 reporting.
- Aid in the preparation of Charitable Solicitation License applications and other compliance reporting.
- Partner with the Finance Director to prepare financial reports for grantors, management, and financial analysis.
- Assist with the preparation of year-end financial statements, including accounting schedules and year-end close procedures.
- Contribute to the preparation and review of Form 990 filings, financial statement audits, and other financial reviews.
- Support the design and maintenance of policies, procedures, and work instructions to strengthen financial controls.
- Collaborate with Human Resources on financial processes related to employee benefits, workers' compensation, employee onboarding/offboarding, and serve as a backup for payroll processing.
- Maintain records and documents in accordance with document retention policies.
- Ensure adherence to GAAP and other accounting standards.
- Perform other tasks as assigned by the Finance Director.
Schedule
The regular schedule is approximately 40 hours per week, Monday through Friday, with flexibility for a mix of in-office and work-from-home hours. Occasional evenings, weekends, and holidays may be required due to special events or department needs. Travel to Greenville, South Carolina, is required 2–4 times a month, with mileage reimbursement provided.
Qualifications
- Accounting education or equivalent experience.
- 3–5 years minimum experience with bookkeeping, data entry, and data management.
- Knowledge of GAAP standards and technical accounting concepts, including double-entry bookkeeping.
- Strong computer skills, including proficiency in Microsoft Excel, Google Suite, and technology-based accounting solutions.
- Willingness to learn and adopt AI tools in accounting.
- Excellent organizational skills with meticulous attention to detail.
- Ability to work with initiative and minimal supervision.
- Maturity, discretion, confidentiality, excellent judgment, and professionalism.
- Genuine affection for animals, concern for their welfare, and willingness to accommodate animals in the workplace.
- Ability to read, write, and understand English.
- Must be at least 18 years of age.
- Reliable transportation.
Preferred Qualifications
- Bachelor’s and/or Master’s degree in accounting.
- Certified Public Accountant (CPA).
- QuickBooks Online experience.
- Nonprofit accounting experience and knowledge of compliance requirements.
Physical Requirements
- Ability to walk and/or stand throughout a normal workday.
- Ability to bend and squat.
- Ability to engage in repetitive motions of legs, arms, and hands and to hear and see clearly.
- Ability to push up to 150 lbs and carry up to 50 lbs regularly and independently.
- Allergic conditions aggravated by handling or working with animals may be disqualifying.
Working Conditions
Conditions may include working alone, working inside or outside during varying weather conditions, frequent interruptions, and some evenings/weekends for meetings and classes.
