Senior Quality Assurance Systems Analyst

About the role
We are looking for a Senior Quality Assurance Systems Analyst in Miami, FL. This position supports the daily operations of the client’s QA Systems Department by assisting department leaders in tracking, maintaining, and entering information in data management systems. The role ensures databases and timeliness of product approval processes dictated by clients. Additionally, this role will help expand and enhance QA Systems capabilities by identifying opportunities to streamline processes, improve data quality, and introduce automation.
Responsibilities
- Review Qualtrics (guest-reported) incidents, determine responsible parties, and decide whether to capture incidents in the client’s system for action.
- Open incidents from PDF submissions and make final determinations on responsible parties, impacting Distribution or Supplier scorecards.
- Make judgment calls on escalating incidents that may require further action.
- Process brand-specific incidents submitted by restaurants.
- Send daily communications to Distribution Centers to ensure compliance with the 5-day timeline and train contacts on system processes.
- Analyze incident data and recurring trends to identify opportunities for process improvement, risk reduction, and enhanced reporting.
- Complete password resets and provide system training for Suppliers, Distributors, and other stakeholders.
- Support testing, implementation, and adoption of enhancements to QA systems, tools, and workflows.
- Serve as the main/backup for uploading monthly DC Mapping files and work with Distribution Centers to map unmapped items.
- Handle all ad-hoc tickets submitted through FreshDesk.
- Work closely with cross-functional teams on upcoming projects/launches and track approvals.
- Serve as backup to the Brand Approval Coordinator, handling approval requests, legal requests, issuing approval letters, and communicating product holds/recalls/probation.
- Review existing QA processes and workflows to identify inefficiencies, bottlenecks, and opportunities for standardization.
- Design, document, and implement improved workflows to increase efficiency, accuracy, and scalability within QA operations.
- Support the development of dashboards, reports, trackers, and tools to improve visibility into QA performance, approvals, incidents, and operational metrics.
- Measure the impact of process improvements and automation initiatives, including time savings, reduction in manual activities, and improved data accuracy.
- Manage monthly GFSI Requests for the brand with Suppliers/Distributors to ensure compliance with system requirements.
- Review data and alert appropriate teams on trends or issues.
- Perform other related duties/projects specific to the brand or as assigned.
- Maintain ethical and Code of Conduct compliance at all times.
Requirements
- Bachelor’s degree in a related field with 2+ years of experience.
- High level of problem-solving skills and ability to analyze, model, and interpret data.
- Methodical and logical approach with strong attention to detail.
- Ability to plan work and meet deadlines.
- Strong analytical skills to evaluate processes, identify root causes, recognize patterns, and translate findings into actionable improvements.
- Demonstrated interest or experience in process improvement, workflow optimization, systems analysis, or operational efficiency.
- Experience with data management, reporting, business intelligence, workflow automation, or similar systems (strongly preferred).
- Proficiency with Microsoft Excel, including organizing, analyzing, and interpreting operational data.

Work Environment
Office environment with moderate noise (e.g., computers, phones, printers, and light traffic). Ability to work at a computer station for extended periods. Minimal travel (less than 10%), primarily for training or company meetings.
Pay
Compensation range: $64,000 - $74,000.
