About the Opportunity

The Senior Purchasing Specialist is responsible for optimizing end-to-end purchasing operations within the finance function. This role plays a critical part in managing vendor relationships, purchase order processing, and cross-department collaboration to ensure efficient procurement activities. The position also supports general ledger tasks related to purchasing during financial close periods, contributing to accurate reporting and operational improvements.

Responsibilities

  • Create, issue, and systematically manage purchase orders (POs) within NetSuite based on approved internal requisitions
  • Oversee new vendor onboarding workflows, including the collection of mandatory tax/banking documentation and coordination with Accounts Payable
  • Monitor and track pending purchase orders through multi-tier approval workflows, actively resolving operational bottlenecks
  • Act as the dedicated cross-functional procurement liaison for internal teams, including R&D, Clinical Operations, Legal, and IT
  • Audit open purchase order reports regularly and expedite critical orders to ensure alignment with project delivery timelines
  • Troubleshoot and resolve complex discrepancies across pricing, quantity, and receiving data by collaborating with vendors and internal teams
  • Maintain and regularly audit master vendor records, compliance details, and item pricing catalogs within NetSuite
  • Ensure all procurement and purchasing workflows strictly comply with corporate internal control policies and purchasing guidelines
  • Lead targeted procurement projects and process optimization initiatives to drive operational efficiencies
  • Support month-end and quarter-end close accounting activities directly tied to procurement tracking and outstanding liabilities
  • Prepare detailed procurement schedules and audit documentation in compliance with US GAAP standards
  • Conduct comprehensive variance analysis on purchasing spend data to support routine management reporting and forecasting
  • Partner with corporate accounting teams to identify, design, and implement continuous process improvements across the Procure-to-Pay lifecycle

Requirements

  • Bachelor’s degree in Business Administration, Supply Chain Management, Finance, or a related field; or equivalent practical professional experience
  • Five (5) or more years of hands-on purchasing and corporate procurement experience, with an industry preference for biotechnology, pharmaceuticals, or life sciences
  • Highly proficient utilizing NetSuite ERP software alongside advanced data manipulation skills in Microsoft Excel (e.g., VLOOKUPs, pivot tables)
  • Direct experience executing structured vendor setup, master data management, and onboarding documentation collection
  • Deep foundational understanding of the entire purchase order lifecycle and integrated Procure-to-Pay (P2P) systems
  • Solid professional knowledge of US GAAP principles specifically relating to expense accruals and purchasing workflows
  • Professional bilingual proficiency in Mandarin Chinese and English, with the ability to communicate effectively with international stakeholders
  • Strong communication, presentation, and organizational skills suited for an international corporate structure
  • Exceptional attention to detail combined with the ability to manage competing priorities in a fast-paced, clinical-stage environment

Pay Range and Compensation Package

Target baseline salary framework: $90,000.00 to $115,000.00 USD annually
Final salary placement within this tier is calibrated dynamically based on the candidate's core ERP system fluency, life sciences procurement background, and cross-border team collaboration capabilities
