Core Job Functions
- Affords assistance in task assignment to internal teams, including schedule management.
- Assists in budget preparation and tracks all project-related expenditures.
- Maintains oversight of project progress and resolves any issues that arise.
- Identifies potential project completion shortfalls and acts as the primary point of contact for stakeholders.
- Communicates timeline changes and new information to the project team.
- Creates and maintains comprehensive project documentation, plans, and reports.
- Safeguards all necessary documentation and ensures its proper filing and storage.
- Evaluates current procedures and recommends changes to enhance project planning and scheduling efficiency.
- Adheres to University and departmental policies and procedures while safeguarding University assets.
Department Specific Functions
- Coordinates project activities related to MSOM research space.
- Provides administrative, technical, and logistical support for research operations, including meeting arrangement, progress tracking, and documentation.
- Ensures compliance with all strategic initiatives and objectives to support the University of Miami and the Executive Dean for Research.
- Carries out routine walkthroughs to verify MSOM research space occupancy, equipment, and signage accuracy.
- Manages capital equipment orders, tracks installations, and oversees facility readiness milestones.
- Tracks equipment deliveries, installation schedules, and facility readiness milestones.
- Coordinates research lab/office relocations as assigned.
- Assesses laboratory infrastructure needs and coordinates efforts with various stakeholders such as EHS, Facilities, Supply Chain, etc.
- Determines system improvements and escalates issues as necessary.
- Participates in the completion of research space capital renovation projects.
- Tracks Central Freezer Facility requests and maintains a database of current inventory.
- Supports the EDR Director of Space in developing and maintaining Guidelines/SOPs related to the Central Freezer Facility and implementing changes as needed.
- Assists the EDR Director of Space in overseeing MSOM laboratory and office spaces according to the guidelines established by the Research Space Committee.
- Contributes to the EDR Annual Capital Budget process by collecting requests and preparing them for leadership review.
Qualifications
- Education: Bachelor’s degree.
- Experience: Minimum 5 years of relevant experience in an academic or research environment.
