Essential Duties
- Provide administrative support to project team to include Project Executive, Project Manager or Project Engineer.
- Complete project setup in Timberline and Procore and provide ongoing Timberline and Procore management.
- Tracking for commitment change orders, owner change orders, subcontractor preparation and purchase order preparation.
- Create, track and maintain project directory to ensure communication within project team.
- Process, distribute and maintain requests for information and plan and project documentation log.
- Aid, if necessary, with processing, distribution and maintaining requests for information.
- Create and update project drawings and specification and project documentation log.
- Cover entire submittal process including preparation of a schedule prior to submission. Process, distribute and maintain tracking of all unapproved and approved submittals.
- Prepare, process, distribute and track contract agreements, change orders and change requests. Send out and track request for quotes (RFQs).
- Coordinate job meetings including preparing agendas, creating and distributing meeting minutes, reserve facilities and send invitations.
- Attend job meetings and take meeting minutes when appropriate.
- Acquire Russell insurance/bonds. Track and approve subcontractor & supplier insurance along with Accounting Insurance Associate.
- Cookordination owner pay applications with Russell project team, subcontractors and vendors. Coordination and collection of invoices, monthly billing and lien waivers from subcontractors and vendors. (As required on CMa projects)
- Aid in preparation of project reports, including Revenue and Gross Profit reports, PSR summaries, Executive Summary reports, Jobsite Reports, Close-out Punch-lists, Post-Mortems and other monthly/periodic reports as directed by project staff.
- When required collect, track and verify Certified Payroll reports.
- Manages and assists with all duties and processes with minimal supervision and direction from Project Managers.
- Actively seeks additional learning opportunities; takes on additional responsibilities and can work independently to meet goals and deadlines.
- Provides training and coaching one on one or facilitates structured training to Project Coordinators.
- Prepare, coordinate and organize as necessary all project closeout documentation.
- Responds and distributes phone calls for project team. Takes appropriate action within limits of responsibility and authority.
- May include trailers, dumpsters, restroom facilities, utilities and phone/data lines, computer equipment and peripherals.
- Makes travel arrangements.
- May provide assistance in special projects and perform other duties as assigned.
Requirements
- High school diploma or GED required.
- Advanced training in office/business procedures or college coursework desired.
- Three (3) to five (5) years of experience as project coordinator in construction preferred.
- Must be proficient in Microsoft Outlook, Word and Excel.
- Working knowledge of or ability to learn industry-related software is required.
