The Sr. Medical Staff Coordinator serves as lead of the Operations or Support Services team, work level expert, coordinating administrative functions of the Medical Staff Professional Services area. Ensures all credentialing and accreditation processes are completed for Parkland and affiliated institutions, only appointing and reappointing qualified and competent physicians and non-physician practitioners to the hospital staff while ensuring regulatory compliance.

About the Role

  • Serves as an expert resource in preparing, analyzing, and processing credentialing documents for hospital medical staff and allied healthcare staff privileges applications and reapplications.
  • Coordinates processing applications through direct source verifications to ensure accurate and complete information.
  • Maintains open communication with practitioners, medical boards, etc., addressing issues of sensitivity, problem-solving, and confidentiality.
  • Maintains and updates confidential credentialing files and data base/master roster of medical/allied health staffs by specialty, appointment category, status, and appointment/reappointment dates.
  • Generates reports, demographics, statistical information, appointments, staff roster, etc., to support the hospital's mission, goals, and objectives.
  • Maintains and accurately tracks the credentialing data base.
  • Attends and prepares agendas for medical staff committee meetings, records committee minutes, and initiates follow-up actions.
  • Closely monitors information collection, evaluates data quality, and requests additional information as needed for effective decision-making.
  • Builds and maintains relationships with internal and external credentialing partners including physicians and hospital leadership.
  • Identifies opportunities for improvement through the audit process and provides recommendations.
  • Maintains oversight of the practitioner data and accurately tracks, reports, and follows up on the status of credentialing applications.
  • Maintains strict confidentiality in all areas relating to provider credentials, status, and personal information.
  • Familiar with all credentialing department policies and procedures.
  • Participates in miscellaneous audit projects throughout the year as required.
  • Communicates with leadership regarding any or all credentialing delays or issues.
  • Conducts training sessions for all incoming staff on processes, procedures, and database.
  • Familiar with Focused Professional Practice Evaluation (FPPE) and Ongoing Professional Practice Evaluation (OPPE) processes.
  • Performs audits of credentialing files and TJC tracers.
  • Acts as a mentor for Medical Staff Coordinators and Credentialing Specialists.

Qualifications

  • Education: High School diploma or GED.
  • Experience: Six years of Medical Staff/Credentialing experience.
  • Other: Must be certified by the National Association Medical Staff Services (NAMSS) as a Certified Professional in Medical Services Management (CPMSM) or a Certified Provider Credentialing Specialist (CPCS) within two years of employment.

Skills

  • Excellent verbal and written communication skills.
  • Expert knowledge of hospital accreditation, medical/allied staff credentialing, privileging, appointment, and licensure requirements.
  • Good organizational skills.
  • Proficiency with personal computers, word processing, data processing, and spreadsheet usage.
  • Familiarity with The Joint Commission (TJC) standards as it relates to the Medical Staff and credentialing.
  • Proficiency in Adobe Pro and Microsoft Outlook.
  • Experience using SharePoint is preferred.
  • Strong interpersonal, critical thinking, and problem-solving skills with a positive attitude and demeanor.
  • Ability to take initiative to research and form conclusions independently.
  • Ability to manage multiple deadlines and time constraints in a fast-paced environment.
  • Demonstrated ability to collaborate effectively and work as part of a team including internal and external stakeholders.
  • Ability to perform detail work efficiently and with a high degree of accuracy.
  • Clear and professional verbal and written communication skills with the ability to clearly explain complex processes.
  • Skilled in interpreting, analyzing, and providing recommendations regarding data accuracy and data collection needs and processes.
  • Excellent planning, organization, time management, and documentation skills.
