About the role

The Senior Filing Specialist will join the litigation department’s Office of the Clerk, an administrative support team established in 2022. This role is a key opportunity to contribute as the team evolves, reporting directly to the Office of the Clerk’s Managing Attorney. You will support attorneys and litigation case teams by driving e-Filings with courts and tribunals nationwide, spanning federal and state trial and appellate courts, ADR bodies, the TTAB, and more. The position involves a mix of e-Filing and occasional traditional hard-copy submissions, as well as training colleagues on e-Filing, docketing, and administrative processes. Evening work and overtime should be expected due to the nature of litigation filings.

This is a hybrid role with standard business hours, though candidates open to a later work shift (e.g., 11:00am–8:00pm Pacific) are strongly encouraged to apply.

Responsibilities

  • e-Filing litigation documents and coordinating traditional hard-copy filings across domestic tribunals and administrative agencies, including federal district and appellate courts, state trial and appellate courts, ADR bodies, TTAB, and more.
  • Handling complex litigation filing events, such as voluminous filings with exhibits, motions to seal, confidential materials filed provisionally under seal, ex parte submissions, expedited or emergency filings (e.g., TROs), and new case initiations (e.g., federal and state complaints, federal miscellaneous cases).
  • Reviewing litigation documents for compliance with e-Filing and formatting requirements, providing feedback to attorneys.
  • Researching and understanding administrative filing requirements and procedures for new jurisdictions or courts, and advising attorneys accordingly.
  • Effectuating service, coordinating service of process, preparing and delivering chambers’ copies, and liaising with court clerks for hearings or administrative tasks.
  • Collaborating with the Managing Attorney to develop and improve internal docketing and administrative filing processes.
  • Training and serving as a resource for the Office of the Clerk and department-wide on e-Filing mechanics, document standards, and internal docketing processes.
  • Assisting with service, chambers copies, and other tasks requiring in-office presence as needed.
  • Monitoring Office of the Clerk intake, maintaining the team calendar, and providing responsive coverage to meet attorneys’ filing demands.
  • Assisting attorneys in establishing and maintaining e-Filing credentials and managing the firm’s centralized system for participating attorney credentials.

Requirements

  • 10+ years of litigation e-Filing experience in a wide range of domestic tribunals, including federal district and appellate courts, ADR tribunals, California trial and appellate courts, and additional state court electronic filing systems.
  • Strong working knowledge of administrative requirements for e-Filing and document standards across various courts and tribunals.
  • Experience conducting independent research on administrative requirements for specific e-Filing events.
  • Significant experience with complex litigation filings, such as voluminous filings with exhibits, motions to seal, confidential materials, ex parte filings, TROs, and case-initiating tasks (e.g., new complaints, miscellaneous cases).
  • Experience filing pre-trial and trial documents during active trials.
  • Familiarity with electronic filing platforms, including NextGen CM/ECF, PACER, California EFSPs, and other court-specific systems.
  • Experience with internal docketing processes and tools (e.g., NetDocs, Pleadings Index Database).
  • Proficiency in MS Office Suite (Excel, Word) and Kofax Power PDF or similar PDF software.
  • Preferred: Bachelor’s degree or equivalent.

Pay

The anticipated pay range for this position is:

  • Pal Alto, San Francisco: $56.31 – $76.19 per hour.
  • Century City, Los Angeles, San Diego: $53.50 – $72.38 per hour.

Compensation may include overtime and a discretionary year-end merit bonus based on performance.
