About the role

We are seeking a Senior Event Planner to manage in-person and virtual events from concept through completion for a large global law firm. The ideal candidate is passionate, creative, detail-oriented, and an expert in all aspects of events, meetings, and conference planning, including budget management, venue scouting, equipment logistics, room setup, and day-of management.

Responsibilities

  • Manage all aspects of event planning while staying on budget and meeting strict guidelines.
  • Build and nurture relationships with vendors, venues, and other industry contacts while implementing the creative and logistical aspects of all events.
  • Work with internal staff, clients, and vendors to coordinate and establish the requirements for an event.
  • Liaise with senior executives and industry leaders throughout the planning process.
  • Coordinate visit sites and lead pre-event meetings to help event coordinators make decisions about event design.
  • Plan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, catering, entertainment, transportation, equipment, and decor.
  • Oversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phases.
  • Build and maintain a comprehensive database of industry contacts, vendors, and venues.
  • Provide day-of assistance and management for all in-person and virtual events.
  • Manage virtual events/webinars from end-to-end (e.g., stakeholder intake, tech runs, event follow-up).
  • Lead a team of event coordinators through mentorship and support.

Requirements

  • 5+ years’ experience in a similar role, preferably in a law firm environment.
  • Technically adept.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills.
  • Ability to organize, prioritize, and coordinate multiple aspects of an event.
  • Maintain confidential information.
  • Ability to excel under pressure and provide quality work product.
  • Clearly and effectively communicate with varying levels of people within the organization.
  • Work productively and cooperatively with other employees.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift, or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand, or sit for an extended period of time.

Pay

The compensation range for this role is up to $35.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience, and qualifications.
