Senior Event Planner

Primary Responsibilities

  • Plan and execute fundraising events, donor stewardship experiences, campaign activities, community engagement functions, and internal recognition events.
  • Develop timelines, project plans, budgets, production schedules, and operational workflows.
  • Collaborate with leadership to align events with fundraising goals and donor engagement strategies.
  • Recommend creative concepts that elevate the donor and guest experience.
  • Oversee all logistics including venue coordination, catering, audiovisual, décor, signage, transportation, registration, and on-site operations.
  • Lead event setup, execution, troubleshooting, and breakdown.
  • Ensure events are delivered professionally, on time, on budget, and in compliance with organizational standards.
  • Maintain contingency plans and proactively address operational challenges.
  • Partner with philanthropy staff to support donor cultivation and stewardship activities.
  • Collaborate with the corporate giving team to secure sponsorships and maximize ROI for major events.
  • Provide exceptional service to donors, sponsors, volunteers, physicians, executives, and community partners.
  • Support sponsorship fulfillment, recognition, and guest communications.
  • Manage relationships with vendors, venues, contractors, and service providers.
  • Negotiate contracts and oversee vendor performance with fiscal responsibility.
  • Coordinate volunteers and event committees.
  • Ensure all partners meet Bronson’s standards for professionalism, safety, and service.
  • Aid in developing and managing event budgets.
  • Track expenses, invoices, sponsorship revenue, and reconciliation activities.
  • Identify opportunities for cost savings and operational efficiency.
  • Communicate with marketing and communications teams on event promotion, branding, and messaging.
  • Assist with event collateral, presentations, scripts, and promotional materials.
  • Support post-event reporting, analytics, donor follow-up, and evaluation.
  • Maintain accurate records in donor and event management systems.
  • Exercise professionalism and sound judgment in all event-related activities.

Qualifications

  • Bachelor’s degree in Event Management, Hospitality, Communications, Marketing, Public Relations, Business Administration, or related field preferred.
  • Equivalent experience may be considered.
  • 3–5 years of progressively responsible event planning or hospitality experience preferred.
  • Experience with fundraising, nonprofit, healthcare, corporate, or donor-related events strongly preferred.
  • Proven ability to manage multiple projects in a fast-paced environment.
  • Exceptional organizational and project management skills.
  • Strong interpersonal, communication, and relationship-building abilities.
  • Ability to manage complex logistics with strong attention to detail.
  • Calm, flexible, and solution-oriented under pressure.
  • Strong budgeting and vendor management skills.
  • Proficiency with Microsoft Office and event/donor database systems.
  • Ability to work independently and collaboratively.
  • Professional presence and commitment to exceptional customer service.
