Senior Event Executive - Hospitality (Logistics Client)
We are looking for a dedicated and hard-working person to join our skilled and dynamic Hospitality Team! This role will help support multiple projects with the ability to get involved in exciting programs with various clients, offering a broad view of Octagon’s offices and clients while assisting with a variety of elite events. Travel is approximately 35%.
Responsibilities
- Lead the planning and execution of event logistics across multiple hospitality programs, ensuring every detail is thoughtfully planned and flawlessly executed.
- Research, develop, and implement creative hospitality experiences, programming ideas, and premium touchpoints to elevate the overall guest experience.
- Manage relationships with third-party vendors, serving as the primary day-to-day contact while overseeing timelines, deliverables, budgets, and execution.
- Support developing décor concepts, event layouts, and floor plans while identifying creative opportunities to seamlessly integrate client branding throughout the guest experience.
- Own gifting execution from concept development through fulfillment, including brainstorming gift ideas, obtaining vendor quotes, managing ordering, personalization opportunities, inventory, and onsite distribution.
- Develop and maintain asset management including signage, printed collateral, production elements, premium giveaways, and branded décor, identifying opportunities to enhance future programs.
- Support budget creation, management, reconciliation, and recap.
- Actively participate in all weekly status calls and other key meetings with both internal and external constituents.
- Lead the planning and execution of food and beverage operations, including menu recommendations, service timing, dietary accommodations, and coordination with venue and catering partners.
- Prepare and distribute event status updates, execution guides, and support staff documents.
- Assist with collecting event results reporting and wrap-up report development.
- Oversee administrative program elements including vendor contracts, certificates of insurance, purchase orders, vendor payments, and overall documentation management.
- General account management and assistance with client requests.

Requirements
- 3+ years’ experience in a related events field; past hospitality experience preferred.
- Passion for sports, entertainment, gaming, music, and/or celebrity & lifestyle culture.
- Experience in the world of golf hospitality is a plus.
- Exceptional organizational skills—disarray in folders or inboxes is not tolerated.
- Ability to balance multiple projects on tight deadlines simultaneously.
- Strong interpersonal skills, both written and oral, with a sense of humor and storytelling ability.
- Thrives under pressure and excels at problem-solving, offering creative solutions.
- Proactive self-starter who embraces new challenges and last-minute client requests.
- Proficiency in Microsoft Office suite, particularly Teams, Excel, PowerPoint, and Word.
- Experience running a budget; Excel proficiency is a must.
- Willingness to travel approximately 35% and work weekends/holidays as needed.
- A second language is a plus.
