About the Role
On Location is seeking a Senior Coordinator, Olympic & Paralympic Hospitality to support the EVP, General Manager, Olympics and Paralympics both administratively and project-based. This role requires an exceptionally organized, proactive, and resourceful professional who thrives in a fast-paced, dynamic environment and can manage shifting priorities with discretion and professionalism. The ideal candidate will be highly detail-oriented, a strong communicator, and able to anticipate needs, manage complex scheduling and logistics, and help ensure seamless day-to-day executive operations. Experience in large-scale sports and entertainment events and/or hospitality is strongly preferred.
Responsibilities
- Take on increasing responsibility across a variety of projects related to Olympics and Paralympic hospitality planning and execution
- Help oversee On Location’s Paralympic hospitality program including working cross-functionally to keep projects on track
- Oversee key planning meetings including schedule development, conference room coordination, meal planning, travel and logistics, dinners, and gatherings as needed
- Manage the General Manager's calendar, including scheduling and confirming meetings, calls, and events; support other key leaders as needed
- Prepare materials and logistics for meetings, presentations, and executive visits
- Capture meeting notes, action items, follow-ups, and help track deliverables to completion
- Coordinate complex domestic and international travel, including itineraries, lodging, transportation, and restaurant reservations
- Handle expense reports, approvals, and other administrative processes in accordance with company policy
- Screen and prioritize incoming requests, correspondence, and meeting inquiries
- Liaise with internal and external stakeholders at all levels with professionalism and discretion
- Support special projects and cross-functional initiatives as needed
- Maintain organized files, records, and communications to support efficient executive operations
- Partner closely with the General Manager and broader team members to ensure smooth execution across priorities and deadlines
Travel
Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays.
Requirements
- Bachelor's degree preferred
- Prior experience supporting senior executives in a fast-paced environment
- Strong organizational and time management skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and adapt quickly to changing needs
- High level of discretion when handling confidential information
- Professional, proactive, and customer-service-oriented mindset
- Strong interpersonal skills and ability to build trusted relationships quickly
- Proficiency with Microsoft Office and common collaboration tools
Preferred Qualifications
- Prior experience supporting C-suite or executive leadership in sports, entertainment, or a related industry
- Prior experience in large-scale event management and/or hospitality
- Experience coordinating international travel and logistics
- Interest/Knowledge of sport a plus

Pay
Hiring rate range: $56,250 – $75,000 annually (minimum will not fall below the applicable State/local minimum salary thresholds).
