About the Role

The Senior Confirmation Specialist is responsible for confirming homeowner appointments, maintaining appointment quality, and proactively managing calendar performance to support sales success. This position requires strong organizational skills, attention to detail, technical proficiency, and the ability to manage multiple priorities in a fast-paced environment. Senior Confirmation Specialists communicate with homeowners through phone and text, navigate multiple systems, maintain accurate customer information, and provide solutions to help preserve appointments. This role serves as a key connection point between homeowners and internal teams by ensuring appointments reflect the professionalism, accuracy, and customer-focused approach of Renewal by Andersen.

Responsibilities

  • Confirm homeowner appointments through phone and text communication while providing an exceptional customer experience.
  • Build rapport with homeowners, actively listen to concerns, and provide solutions to help preserve scheduled appointments.
  • Proactively manage appointment calendars by identifying opportunities to maximize availability and support Design Consultant success.
  • Maintain strong appointment quality by ensuring scheduled appointments meet qualification standards.
  • Verify accuracy of customer information, including names, phone numbers, addresses, appointment details, and required customer profile information.
  • Navigate multiple systems, applications, and tools simultaneously while maintaining accuracy and efficiency.
  • Utilize Microsoft Office applications, including Excel, and other business systems to support daily operations and reporting.
  • Complete required lead checks, documentation, and administrative responsibilities accurately and efficiently.
  • Support inbound and outbound appointment-setting efforts as needed.
  • Follow established processes, scripts, and procedures while maintaining a conversational and customer-focused approach.
  • Collaborate with Sales, Marketing, and Operations teams to improve appointment quality, customer experience, and overall business performance.
  • Identify opportunities for process improvements and contribute ideas that improve team effectiveness.
  • Maintain a positive, professional representation of Renewal by Andersen in all homeowner and teammate interactions.

Requirements

  • High school diploma or equivalent.
  • Previous experience in customer service, scheduling, inside sales, appointment setting, administrative support, or a performance-driven environment preferred.
  • Strong verbal and written communication skills.
  • Excellent attention to detail with the ability to maintain accuracy while managing multiple priorities.
  • Proficient with Microsoft Office applications, including Excel.
  • Comfortable learning and utilizing multiple software systems and technology platforms.
  • Ability to multitask effectively across multiple screens, tools, and applications.
  • Strong problem-solving skills with the ability to remain calm and professional under pressure.
  • Comfortable handling objections, rejection, and challenging conversations while maintaining a positive customer experience.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
