Essential Functions of the Job

  • Schedule meetings, sessions and calls, make travel arrangements, and manage invoices and expense reimbursements.
  • Provide logistical and administrative support for internal and external meetings.
  • Work with team members on various special events and press opportunities, including the Student Academy Awards, Gold Rising events, member meetings, Academy Museum events and all Oscar-related special events.
  • Maintain confidentiality of records, data and documents pertaining to department administrative needs and any notes and data related to those files.
  • Monitor publicity inbox and press coverage, daily press distribution, press list maintenance. Respond to press inquiries in a timely manner.
  • Support talent relations team with logistics, including but not limited to booking travel/car service, grooming and on-site assistance.
  • Process invoices and track expense reimbursements for department and senior leaders.
  • Review a variety of documents for proper formatting and spelling to ensure consistent output.

Required Competencies

  • A bachelor's degree is required. An equivalent combination of education and experience will be considered in lieu of the degree.
  • Minimum two years of administrative support experience is required; experience performing these duties in a film, entertainment, and PR agency work environment is preferred.
  • Intermediate knowledge of MS Office applications (Outlook, Word, Excel and PowerPoint). Experience with relational databases a plus (CRM desired).
  • Proven work experience in meeting deadlines and remaining flexible to last-minute changes in a fast-paced and high-pressure environment.
  • Outstanding communication skills, including highly professional verbal and written communication skills with special attention to detail and accuracy.

  • Availability to work some nights and weekends as needed and possibly assigned on short notice.
