About the Role

• Provides administrative assistant/secretarial support to the Statewide and Hospital Forensic Coordinator.
• Handles phone calls and schedules meetings, evaluations, and hearings for all facilities housing forensic patients throughout the state when necessary.
• Assists in keeping forensic files up to date.
• Handles highly confidential information, personnel and fiscal issues.
• Coordinates and schedules appointments, meetings, and information.
• Creates and maintains electronic and paper files on correspondence, policies and procedures, reports; develops meeting agendas; maintains patient and employee records including time, schedules, and attendance.
• Submits updates from the treatment team and mental health center to the court.
• Performs any other duties associated with the position.
• Mandatory overtime may be required per operational needs.

Requirements

• Education: High school diploma or equivalent.
• Licensure/Certifications: None.
• Experience: One (1) year of full-time or equivalent part-time experience performing clerical duties or office support work.
• Substitution: Additional education may substitute for the required experience on a year-for-year basis or as determined by the Office of Shared Administration Equivalency Chart.
• Drug Screening: Applicants selected for employment must complete a chemical urinalysis and breath analysis drug screening test; all employees are subject to drug and alcohol testing for probable cause per agency and bureau policies.
• Background Check: Applicants selected must successfully complete a background check.
• Work Environment: This is a tobacco‑free facility.

• William R. Sharpe, Jr. Hospital, located in Weston, West Virginia, is a 200‑bed acute psychiatric care facility owned and operated by the West Virginia Department of Health Facilities.
• The hospital holds accreditation from The Joint Commission and certification by the Centers for Medicaid and Medicare Services (CMS).
• It offers a wide range of services to patients committed through civil commitment or, for forensic patients, ordered through the judicial system.
• Through ongoing collaboration with West Virginia University’s Department of Behavioral Medicine & Psychiatry, medical and clinical professionals partner with hospital staff to support patients’ transition back to the community after discharge.
