About the Role

This classification level is responsible for providing receptionist duties and clerical office support to district offices. The Judicial Branch does not sponsor STEM (form i-983) or non-immigrant work visas for this position.

Responsibilities

  • Perform front desk duties to check-in probationers.
  • Answer phone calls and provide general office and program information.
  • Contact probation officers and other staff for appointments, meetings, and pre-sentence interviews.
  • Open and close case intake files.
  • Maintain case documents such as violations.
  • Prepare standard and routine legal documents, letters, and correspondence from dictation (e.g., jail waivers, travel permits).
  • Track, compile, and maintain routine case information (e.g., criminal history, driver’s license).
  • Process daily incoming and outgoing mail.
  • Serve as a receptionist and/or answer the telephone for assigned district office(s); determine the nature of visits or calls and direct callers appropriately.
  • Provide information to callers and visitors, including directions as needed.
  • Maintain and distribute inventory of documents, brochures, and applications.
  • Perform basic office support duties such as collating materials, distributing mail, preparing mailings, completing forms, proofreading, and typing routine correspondence and reports.
  • Perform other duties of a similar nature or level.
  • May provide guidance to entry-level secretarial staff.

The above responsibilities represent key areas; specific assignments may vary based on departmental needs.

Requirements

Minimum Qualifications:

  • High school diploma or GED.
  • 2 years of administrative support or clerical experience.

An equivalent combination of relevant education and experience may also be considered. All educational credits must be from an accredited institution approved by the U.S. Department of Education.

Knowledge and Skills

  • Customer service principles.
  • Modern office procedures, methods, and equipment.
  • Basic filing and recordkeeping principles.
  • Cash handling techniques.
  • Basic bookkeeping techniques.
  • Proficiency in using computers and related software applications.
  • Strong customer service and interpersonal skills.
  • Filing and keyboarding skills.
  • Ability to use modern office equipment.
  • Ability to count cash and balance accounts.

Physical Requirements

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time, with occasional walking and standing required.

Pay

  • Starting Salary: $35,264.16 annually (Hiring Rate: $16.954/hour).
  • Immediate Growth: Earn a 2.5% pay increase after successfully completing your probation period (not applicable if starting above the hiring rate).
  • Starting Rate Flexibility: Higher starting pay may be considered based on education and experience, subject to final management approval.
  • Future Increases: Annual cost-of-living adjustments (applied on July 1) are subject to State Legislature approval.

Schedule

Some non-traditional hours may be required.
