Under the general supervision of a principal, to act as secretary and receptionist and perform a wide variety of responsible clerical duties. Assists the principal by relieving them of clerical detail.

About the Role

Positions in this class exist at elementary schools and involve working with minimal supervision, as many duties may be performed while the principal is absent. The role does not require professional education techniques or policy decisions, and most clerical tasks are routine and repetitive. Frequent interactions with parents, teachers, and students are typical. Stenography is desirable but not required.

Responsibilities

  • Act as secretary to an elementary principal; take and refer messages for the principal and teachers; act as receptionist.
  • Provide information to the public regarding school matters in person and by telephone.
  • Independently answer routine correspondence, typically using form letters, without requiring the principal’s attention.
  • Maintain records of student attendance and prepare regular attendance reports for the district office.
  • Register students, maintain all student records, and prepare reports, including supply orders.
  • Collect district funds and maintain bookkeeping records for employee payroll.
  • Coordinate exchanges of textbooks, library, and audio-visual materials among teachers.
  • Type a variety of materials from oral directions, rough drafts, copy, or notes.
  • Communicate with parents regarding pupil absences and other student welfare matters.
  • Schedule school appointments for pupils with the district physician and nurse.
  • Administer minor first aid and/or medication to pupils in the absence of the school nurse.
  • Provide clerical assistance to teachers, including typing and operating office machines such as mimeograph and duplicating machines.

Requirements

Knowledge of:

  • Basic modern office methods.
  • Correct English usage, spelling, grammar, and punctuation.
  • Common office machines and their operation.

Ability to:

  • Perform clerical work of average difficulty with accuracy and speed.
  • Quickly learn and apply specific rules, laws, and policies with good judgment in various procedural situations.
  • Make mathematical calculations quickly and accurately.
  • Compile and maintain accurate and complete records and reports.
  • Understand and carry out oral and written directions.
  • Interact tactfully and courteously with the public and establish effective working relationships with children and adults.
  • Type from clear copy at a rate of 45 words per minute.

Qualifications

  • One year of experience in clerical work, preferably involving frequent public contact.
  • High school education or equivalent training and experience.
