Position Responsibilities
- Serves as Receptionist: Maintains phones, monitors school cameras and front door entrance; greets students, parents, staff and visitors, cordially in a professional manner.
- Ensures all visitors sign in when on campus and promotes positive public relations for the school and church.
- Prepares, duplicates, distributes a variety of material such as but not limited to; weekly parent newsletter, school events, flyers related to school & student programs, reviews publication write-ups and student verification for release, assists with student/parent handbook updates and distribution.
- Oversees the school Webpage; helps maintain accurate and current information is updated in a timely manner.
- Assists all parents with general questions and needs.
- Helps coordinate volunteers and sign up resources for school events when needed.
- Affords support and assistance to the school clinic needs; administering medications, recording illnesses, review and update student immunizations, schedule and prepare for annual screenings.
- Compiles and maintains a variety of student campus required resources; medical and allergy lists; emergency data forms; volunteer background checks & VIRTUS training.
- Supports and assists faculty & staff with general operation of office workroom equipment or needs.
- Affords support and assistance with all year end office/administration duties; student certificates, year-end picnic details and scheduling, school supply lists; teacher check outs; etc.
- Schedules appointments with new families, manages new family inquiries, applications and enrollment process.
- Maintains physical and computerized records including student cumulative folders, student attendance reporting.
- Processes new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
- Affords support and assistance to the campus administration and counselors with the preparation of reports and student data information.
Minimum Qualifications
- Education: High school or GED; Associates Degree preferred.
- Experience: Minimum of four years clerical experience.
- Licenses and Credentials: Reliable transportation; valid driver license; valid vehicle insurance; must pass archdiocesan Safe Environment Requirements and background screening; must pass Texas DPS Fingerprint-based Applicant Clearinghouse screening.
- Knowledge and Skills: Three four clerical experience; ability to maintain accurate and auditable records; proficient keyboarding and file maintenance skills; basic math skills; strong organizational, communication, and interpersonal skills; must be detail oriented, organized, self-motivated, work well independently and on a team; must have good written and verbal skills; must have good critical thinking and problem-solving skills.
