About the Role

ACCEL Schools is seeking a friendly, energetic, and ethical School Office Manager to manage all office functions and act as the first point of contact for students, parents, and the general public at Hinckley Preparatory Academy in Hinckley, Ohio. Founded in 2023, Hinckley Preparatory Academy is a new public charter school for EK-6 students that combines competitive sport training with accredited academics. The school day includes academic, athletic, and life skills learning, with core subjects in the mornings and fitness/special interests in the afternoons.

This role reports to and works collaboratively with the Principal to handle inquiries, maintain student records, assist with human resources, and fulfill clerical needs, all in compliance with the Federal Educational Records Privacy Act (FERPA).

Responsibilities

  • Work with school leadership to meet goals, foster a welcoming atmosphere, and build an open and honest culture aligned with company values.
  • Manage school-wide communications:
    • Answer phones and greet/direct visitors and students.
    • Implement registration, badging, and visiting procedures for parents and guests.
    • Create and distribute school newsletters, surveys, and notifications.
    • Assist with school events such as Parent Orientation, Open House, outings, and field trips.
  • Support student enrollment and retention:
    • Participate in information sessions and produce welcome packets/mailers.
    • Conduct tours and student/parent orientations.
    • Input student and staff data into systems and request records for new enrollees.
  • Ensure compliance with student record-keeping requirements:
    • Submit daily attendance and complete truancy process steps.
    • Process student withdrawals and prepare/maintain transcripts.
    • Fulfill records requests within policy guidelines.
    • Securely maintain cumulative files and other records per regulations.
    • Participate in annual student record audits.
  • Perform administrative support functions:
    • Prepare reports, file documents, and process mail/packages.
    • Coordinate meetings, events, and maintain calendars.
    • Maintain office supplies and report equipment/facilities issues.
    • Update transportation logs and coordinate with transportation vendors.
    • Maintain meal count lists and communicate monthly food calendars.
  • Ensure timely and accurate completion of human resource processes:
    • Verify I-9 documentation for new hires.
    • Submit weekly time and attendance for all staff.
    • Manage offboarding procedures.
  • Actively participate in staff meetings, committee meetings, and professional development events.
  • Perform other duties as assigned.

Requirements

  • Associate's degree (Bachelor's degree preferred).
  • Minimum two (2) years of office management experience.
  • High proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
  • Experience learning and mastering new computer programs.
  • High-quality written and verbal communication skills.
  • Excellent organization and time management skills.
  • Ability to work independently and contribute to a team.
  • Professional, punctual, and self-motivated.
  • Ability to manage confidential information.
  • Ability to lift 25 lbs.
  • Ability to pass federal and state criminal background checks (FBI/BCI).
  • Experience working in an education setting preferred.

Pay

The annual starting salary for this position is $43,888. Factors affecting starting pay may include geography/market, skills, education, experience, and other qualifications.
