School Board Recording Secretary

Farmington School District is seeking a Recording Secretary to serve the Farmington School Board Meetings. This position requires evening work; flexibility in the schedule is a must since meetings may be called as needed.

Qualifications

  • Experience within a public school setting strongly preferred

Reports to: Farmington School Board

Responsibilities

  • Takes and transcribes minutes of meetings
  • Maintains confidentiality
  • Develops and maintains a filing and retrieval system for all official School Board minutes and records
  • Maintains effective working relationships with officials, department heads, other employees and the general public
  • Perform other duties as assigned

Skills

  • Thorough knowledge of business English, spelling and punctuation
  • Thorough command of digital literacy and related software applications
  • Knowledge of parliamentary procedures and public school terminology
  • Ability to keep accurate minutes and make them available at the necessary time
  • Excellent integrity and demonstrates good moral character and initiative
  • Strong commitment to accuracy, a pleasant disposition, and a cooperative attitude, as well as pride in workmanship
  • Ability to work independently and without constant supervision
  • Ability to type 50 words per minute
  • Ability to take dictation at a speed of 100 words per minute

Physical Demands

  • Eyesight sufficient to effectively read and to accurately view information on a computer monitor
  • Speaking and hearing ability sufficient to effectively communicate
  • Manual dexterity and strength sufficient to enter information via computer keyboard for an extended period of time, to write notes and information needed
  • No physical labor required

It is the School Board's policy that all new employees should have a physical exam at the employee's expense before starting work, with a doctor's statement that the employee is able to perform his/her duties.

Work Environment

  • Public and non-public meeting sessions, most televised; some workshop sessions
  • Transcription and minutes preparation at home
  • Conference room setting

At least twice a month, year round, and some weekends required; more frequent meetings occur during budget season.

Evaluation

An evaluation will be performed by the School Board after three months on the job and at least annually thereafter.
