School Administrative Assistant - Long Term Substitute -Waterboro Elementary School

About the Role
Under the direct supervision of the principal or other administrator, and as assigned by the School Executive Secretary, this position provides clerical, secretarial, and administrative assistance to school administrators. Responsibilities include conveying information regarding school functions and procedures, and supporting services provided to students, parents, instructional, and support employees.
Qualifications
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications include:
- Graduation from high school.
- Shorthand or speed writing skills are desirable.
- Successful experience with office management is preferred.
Responsibilities
- Prepares, copies, and distributes notices, memoranda, or other correspondence to inform school employees about activities, events, or work-related matters.
- Assists in planning and scheduling school events and activities, maintaining calendars for school and student events (e.g., orientation, open house, field trips, sporting events, assemblies, conferences).
- Maintains documents, files, and records to provide up-to-date reference and ensure compliance.
- Prepares purchase orders for submission to the school district's accounting/finance office.
- Maintains inventories of supplies and materials to ensure availability.
- Assists visitors to the office, including students, parents, substitute teachers, and others.
- Answers telephone calls, provides information, and assists callers.
- Distributes incoming mail appropriately and sends outgoing mail.
- Registers new students, ensuring forms are completed, obtaining transcripts and other documentation, and entering data into the computer system (e.g., transportation, free and reduced lunch program, attendance, withdrawals).
- Responds to inquiries from students, parents, and employees, providing information, facilitating communication, or directing to appropriate personnel.
- Uses standard office equipment such as personal computers, copy machines, fax machines, and telephones.
Skills and Abilities
- Ability to describe problems and communicate orally or in writing to supervisors as required.
- Ability to establish and maintain cooperative working relationships with others.
- Ability to carry out instructions furnished in written or oral form.
- Proficiency in basic arithmetic operations (addition, subtraction, multiplication, division).
- Ability to understand, apply, and use personal computers and software applications (e.g., Word, Excel, PowerPoint, Internet, Outlook, email).
- Problem-solving skills for job-related issues.
- Ability to work with a diverse group of individuals.
- Ability to process paperwork accurately according to standardized procedures.
- Ability to maintain confidentiality of information regarding students, employees, and others.
- Strong organizational and time management skills.
- Knowledge of office management procedures.
Physical Demands

Pay
$19.40 - $27.59 per hour
