Scheduling Specialist I: Sleep Center

Digestive Health Clinic, Gastroenterology, Oncology Specialty Clinic, Heart Valve Clinic, and related departments.

Responsibilities

• Assists in the coordination of Patient Procedure/Surgical schedule under direct supervision.
• Collaborates in the management and scheduling of routine procedures, add-ons, and emergent procedures.
• Facilitates communication between patients, physicians, other departments, and staff members.
• Coordinates with patients to schedule pre-procedure diagnostic tests and clearances.
• Provides information to Insurance Verification Specialists to obtain authorizations as necessary.
• Handles patient registration filing, data entry, preparation of patient charts, and other clerical duties as assigned.
• Interacts directly with patients in a high call volume environment.
• Participates in continuous quality improvement processes.
• Maintains a working knowledge of departmental standard operating procedures, including specialized instrumentation, Quality Control requirements, and preventative maintenance.
• Maintains confidentiality.
• Performs other duties as assigned.

Requirements

• High School Graduate or equivalent required.
• Minimum of one (1) year front office, previous scheduling, customer service, or equivalent experience.
• Excellent interpersonal and communication skills.
• Knowledge of proper body mechanics and safety measures.
• Basic knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and healthcare database systems required.
• Strong knowledge of basic medical terminology preferred.
• Proven ability to interface with all customer levels (Physicians, Staff, Vendors, Patients, Family members).
• Full understanding of medical insurance procedures required.
• Basic keyboarding skills (minimum 35 WPM preferred).

Certifications

• BLS (Basic Life Support) required within 6 months of hire for most departments.
• BLS required upon hire for Irvine Periop and Operating Room.
• BLS (AHA) preferred for Heart Valve Clinic.
