About the role
The Scheduling Associate works collaboratively with the residential management team to manage, coordinate and assist with the scheduling functions of Milestone’s IDA residential homes. Demonstrates and reflects a commitment to the mission and values of Milestone by serving others with respect, dignity and compassion.
Responsibilities
- Works with Community Living Managers (CLM) and Community Living Directors (CLD) to ensure appropriate services and supports at all residential locations through coordination and scheduling of Direct Support Professionals (DSPs), both Milestone and Contracting Staffing Agencies in When I Work, including call-off management and appropriate scheduling for medication administration and transportation to appointments, day programs and other community activities.
- Collaborate with CLMs to manage time off requests and secure coverage as needed.
- Assists CLMs and Residential Program leadership with oversight and management of schedule templates in scheduling software system (When I Work) and assists with adjustments to templates as changes are made to Position Controls.
- Ensure that schedules are published according to the prescribed calendar requirements.
- Monitors all scheduled time in When I Work and manage DSP overtime and number of Agency shift to ensure that it remains within established parameters.
- Monitors and maintains an accurate and updated list of DSPs by status, position, site and CLM.
- Enter and archives DSPs in When I Work as needed. Ensures that DSP “tags” (certified driver / medication passer / shopper, etc.) in When I Work are accurate and up to date.
- Communicates with Contracting Staffing Agencies re: staff availability and scheduling and collaborates with Human Resources to monitor and maintain an accurate and updated list of active / available (credentialed / trained) Contracted Agency staff. Ensure that these staff are entered or archived into When I Work as needed.
- Assist in the management / scheduling of Casual DSPs through outreach and communication regarding open shifts. Inform the Community Living Director when a Casual DSP is not responding and / or has not worked for more than one (1) month.
- Assists Residential leadership with monitoring completion of training as required in Relias (Learning Management System) for DSPs and Contracted Agency staff. Provides reminders to CLMs and DSPs as to any training that is due / overdue.
- Coordinates and communicates with the CLM on-call schedule.
- Participates in IDA meetings, committees and other meetings as assigned.
- Knowledge and compliance with all Partners For Quality Corporate Personnel Policies and Procedures and Milestone Operational and agency specific personnel policies and procedures.
- Perform other duties as assigned.
Requirements
- High School Diploma or GED
- One (1) year of scheduling experience within a residential program.
- Prior experience working in a residential program.
- Act 34 Clearance and FBI Clearance, as appropriate
- Valid PA, West Virginia or Ohio Driver’s license and acceptable driving record

Schedule
Full Time; 40 hours per week. Flexible to meet the department needs.
