Scheduling Assistant

The Patient Staffing Assistant provides administrative and scheduling support to the Patient Staffing Office by coordinating staffing coverage, communicating with clinical staff and department leadership, maintaining scheduling records, supporting timekeeping processes, and assisting with workforce scheduling activities. The position plays a key role in helping ensure adequate staffing coverage for the Patient Staffing Office, Emergency Department, Medical/Surgical, PIP, ICU and other designated staff and departments.

Responsibilities

  • Support staffing operations by assisting with shift coverage coordination across assigned departments.
  • Maintain accurate scheduling records and staffing documentation to support workforce planning and operational needs.
  • Communicate effectively with staff and department leadership regarding staffing needs, coverage updates, and schedule changes.
  • Aid employees with scheduling-related requests and provide administrative support to the Patient Staffing Office.
  • Support timekeeping and staffing processes to promote accurate payroll and workforce data.

Requirements

  • Education: High school diploma or equivalent required. Associate degree in business, healthcare administration, or related field preferred.
  • Experience: Previous administrative, scheduling, staffing coordination, customer service, or healthcare support experience preferred. Experience working with scheduling systems, timekeeping systems, or workforce management software preferred.

Knowledge, Skills, and Abilities

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to analyze staffing needs and communicate scheduling information accurately.
  • Proficiency with Microsoft Office applications, email systems, and scheduling software.
  • Strong interpersonal and customer service skills with the ability to collaborate effectively with staff and leadership.
  • Ability to maintain confidentiality and handle sensitive employee information appropriately.
  • Demonstrates proficiency in reading, writing, reasoning, basic mathematics, and verbal communication.
  • Ability to work independently while following established policies and procedures.
