Responsibilities
- Prepare paper documents for scanning by removing staples, repairing damaged pages, and organizing files.
- Scan Service and Parts documents using high-speed scanning equipment.
- Review scanned images to ensure they are clear, complete, legible, and properly indexed.
- Verify the accuracy of scanned documents prior to filing and archiving.
- Organize and maintain both physical and electronic records in accordance with dealership procedures.
- Prioritize daily scanning tasks to ensure documents are processed accurately and on schedule.
- Maintain the confidentiality and security of company records.
- Provide general administrative support and assist with additional duties as assigned.
Qualifications
- A high school diploma or equivalent is required.
- Strong attention to detail and organizational skills are essential.
- Excellent time management skills with the ability to prioritize multiple tasks are necessary.
- Effective verbal and written communication skills are required.
- The ability to work collaboratively in a professional office environment is important.
- Basic computer proficiency and a willingness to learn dealership software are beneficial.
- Previous administrative, document management, or scanning experience is preferred but not required.
- The ability to read, understand, and accurately process documents is crucial.
Physical Requirements
- Ability to lift up to 15 pounds without assistance.
- Ability to perform repetitive hand and arm movements associated with document preparation and scanning.
- Ability to sit or stand for extended periods while completing scanning duties.
