About the role
The Sales Operations Administrator is the person who keeps all aspects of a bid process from slipping through the cracks. They ensure that everything is logged, tracked, and ready for submission or closure.
Responsibilities
- Log and track bids from the moment they land until they are won or closed
- Assemble submittals and O&M manuals for winning bids, ensuring completeness, accuracy, and timely delivery
- Support quotes, customer orders, and job setup in the ERP system, monitoring open orders and POs for vendor status updates
- Routinely manage the sales inbox and phone calls, prioritizing urgency and organizing tasks efficiently
Requirements
- Meticulous attention to detail
- Ability to handle multiple tasks simultaneously in a high-pressure environment
- Proficiency in Excel and Outlook, with the ability to learn new systems independently
- Comfortable with basic financial calculations and understanding of business processes
- Preferably 1-2 years of experience in sales support, inside sales, quotes, or project coordination
- Experience in an ERP or order-management system (P21 a plus)
- A background in HVAC, construction, or distribution
- High school diploma or GED required; coursework or a degree is a bonus
- Comfortable working in a fast-paced, dynamic environment
- Strong organizational skills and the ability to prioritize tasks effectively
- Excellent communication and interpersonal skills
- Excel proficiency
- Outlook proficiency
- ERP or order-management system experience (P21 preferred)
