Sales Lead Coordinator
Position Summary
The Sales Lead Coordinator at Johnson & Johnson Heating, Air Conditioning, and Plumbing, Inc. plays a vital role in maximizing sales conversion by strategically coordinating lead flow and appointment scheduling. Acting as a "Sales Dispatcher," this individual is responsible for matching the right Comfort Advisor to the right call at the right time, ensuring all leads are handled with urgency and accuracy. The Sales Lead Coordinator is also accountable for tracking sales metrics, organizing install transitions, managing customer communication throughout the sales cycle, and maintaining operational excellence within the sales board. This role requires strong attention to detail, analytical thinking, and exceptional coordination skills to ensure lead outcomes are maximized and customers receive a five-star experience.
Essential Responsibilities
Lead Coordination & Dispatching
- Manage all incoming sales leads, including TGLs (Technician-generated leads), marketing, and manual entries, and assign them
- Review daily and weekly sales pace, prioritizing open capacity and opportunities for conversion
- Confirm and schedule sales leads, ensuring homeowners are prepared for advisor visits
- Communicate changes or updates to advisors, ensuring leads are confirmed and expectations are clear
- Follow up on all unbooked leads and ensure no lead is left behind
Board Management & Reporting
- Maintain an accurate and up-to-date sales board, lead log, and install calendar
- Track and report conversion trends, missed opportunities, and capacity planning to the Sales Manager
- Provide end-of-day reports and maintain visibility of daily sales efforts
Install Coordination
- Schedule sold jobs in coordination with the Installation Manager
- Verify financing, collected documentation, permits, and notes are in place for a smooth install handoff
- Ensure jobs are moved from Sales to Install with all pre-install requirements completed
Customer Communication & Support
- Act as a liaison between the Comfort Advisor and customer after the sale
- Provide install update calls and follow-up messages to ensure ongoing customer satisfaction
- Perform "happy calls" after installations to verify quality experience and obtain reviews when appropriate
Administrative Responsibilities
- Maintain records in ServiceTitan, ensuring jobs are tagged, completed, and documented correctly
- Monitor completion of “sold” leads in ST and keep the pipeline clean and organized
- Aid the Sales Manager with additional administrative tasks as needed
Minimum Qualifications & Requirements
Minimum of 2 years of administrative, dispatching, or inside sales coordination experience
Experience in a scheduling or dispatch role within a service-related industry preferred
Proficiency in Microsoft Excel, Google Sheets, and web-based scheduling tools
Strong working knowledge of ServiceTitan (or similar CRM/dispatching system)
Clear, professional communication skills, both written and verbal
Strong organizational skills and the ability to manage multiple priorities under pressure
High attention to detail with strong follow-through and a sense of urgency
Able to work in a fast-paced environment with minimal supervision
